At HTEC, we’re unlocking the potential of hydrogen to reduce climate change and air pollution. Based in Vancouver, we design, build, and operate hydrogen fuel production, distribution and supply solutions to advance the deployment of hydrogen fuel cell electric vehicles.
**Job brief**:
As a member of the Quality Team, this role will support the overall organization in managing the storage and distribution of project documentation including Engineering drawings and technical documentation.
**Responsibilities**:
- Prepare and administer drawing packages through the Engineering Authentication process
- Issue and track drawing and documentation packages to clients
- Receive, review, register, code, and distribute internal and external documents (from contractors, vendors, regulators, and other stakeholders)
- Generate and track Document Transmittals
- Administer Change Orders through the Management of Change process
- Distribute technical documents and notify relevant personnel of updated revisions and access procedures.
- Support and advise on the creation and maintenance of document control processes and procedures while ensuring that the procedure is implemented and followed on projects
- Identify opportunities for improvement to documentation control processes and procedures and act on improvement requests
- Printing, photocopying, and scanning of drawing and document packages including large format plots
- Manage document review cycles, including follow-ups with reviewers, tracking comment responses, and overseeing squad check processes for submittals.
- Assign unique document and drawing control numbers and ensure consistent document classification.
- Manage SharePoint permissions and access for controlled documents.
- Generate document status reports and provide updates to project managers and internal teams.
- Conduct document audits, archive project documentation, and ensure traceability for turnover packages.
- Maintain document libraries such as the drawing vault and submittal library.
- Provide training to team members on document control procedures and tools, as needed.
- Support the preparation and maintenance of Quality Management System (QMS) documents.
- Conduct internal reviews to ensure compliance with document control standards and accessibility requirements.
**Qualifications**:
- At least 2 years of experience in document control for quality, engineering or construction projects.
- Prior experience using electronic document and records management system, such as OpenText, Aconex, Procore, to manage project documentation and drawings would be an asset
- Bachelor’s degree in business administration or management would be an asset.
- Proficiency in Word, Excel, Outlook, Bluebeam, Adobe Acrobat Pro, and SharePoint
- Excellent organizational skills
- Excellent oral and written communication skills
- Strong interpersonal skills
- Self-motivated, detail oriented and able to prioritize multiple tasks
- Experience with Solidworks PDM systems an asset
- Ability to communicate in a professional and collaborative manner within all levels of the organization
- Knowledge in QMS documentation and Continuous Improvement an asset

Contract length: 14 months
Pay: From $72,000.00 per year
