**Job Overview**
We’re seeking a Documentation Specialist to join our fast-paced and dynamic equipment finance company. Based onsite in our Calgary, Alberta office, this pivotal role involves preparing, managing, and executing financing document packages with precision and professionalism.
As a Documentation Specialist, you’ll collaborate with internal teams, vendors, and clients to ensure accurate and compliant documentation while delivering exceptional service. This position is perfect for a detail-oriented, highly organized professional who thrives under pressure and is committed to excellence.
**Individual Key Contributions/Responsibilities**
**Administration & Documentation**
- Prepare lease and loan documentation for new transactions, amendments, and modifications, ensuring conformity to approval terms and Essex’ standard security requirements.
- Upload documents and agreements to the DocuSign platform to obtain electronic signatures.
- Vet completed contract packages for accuracy and enforceability.co-ordinate vendor payments in a timely and efficient manner.
- Effect Personal Property Security Act registrations, perform searches, and obtain waivers as applicable, to confirm Essex is in a priority secured position.
- Accurately enter and post transactions into portfolio management system. (Aspire)
- Assist sales force with obtaining required items for thorough preparation of documents and complete funding packages.
**Continuous Learning**
- Keep up to date of changes and developments in the industry and in technology applicable to Essex.
- Be well-informed of changing rules and regulations pertaining to government legislation affecting the business unit and the industries which Essex serves.

- Ensure customers and business partners feel comfortable, important, and secure in their dealings with Essex.
**Personal Conduct**
- Maintain physical site and departmental security in accordance with departmental and corporate policies.
- Maintain strict confidentiality of Essex’ operations, customers and business partners.
- Identify and investigate any questionable situations/transactions to protect Essex’ position against possible loss.
- Possess excellent communication skills; both written and oral.
- Be able to prioritize heavy workloads and work effectively under pressure in a fast-paced environment.
- Maintain a high degree of organization with ability to multi-task and meet competing deadlines.
- Be detail oriented with a focus on accuracy.
- Be professional and self-motivated with a high sense of integrity.
**Required Education and Experience**:
- Prior Documentation and/or Lease/Loan Administration
- 1 to 2 years of experience in a related field - bachelor’s degree preferred, but not required.
- Experience in the Financial/Leasing Industry would be considered an asset.
- Knowledge of jurisdictional PPSA registration systems and/or familiarity of contract law would be beneficial.
- Competent in the use of MS Word, Excel, Outlook
