**Document Management Specialist**

QTest Inspection Ltd. is currently seeking to fill our Document Management Specialist position to assume responsibility for providing crucial support for the company’s Document Control requirements. This position **must have experience with NDE/Pressure Vessel/Integrity reporting processes.**

The Document Management Specialist role will ensure all project documentation is effectively managed, controlled, and distributed to support the successful execution of projects. This role plays a critical part in maintaining project integrity, regulatory compliance, and efficient collaboration among project stakeholders. This role requires a high level of organizational skills.

- Technical Manager
- Project Managers

**Main Responsibilities**:

- **Document Management**: Maintain a structured system for organizing and storing documents, drawings, specifications, and other project-related materials that adhere to the company’s QA Management System and any regulatory requirements.
- **Document Control Procedures**: Enforce document control procedures and standards to ensure consistency and compliance with industry regulations and company policies
- **Revision Control**: Track revisions and updates to documents, ensuring that the most current versions are readily available to team members
- **Document Distribution**: Manage the distribution of documents to appropriate stakeholders, both internally and externally, ensuring that the right people have access to the right information.
- **Document Tracking**: Keep detailed records of document status, including approvals, reviews, and changes, to maintain a clear audit trail. Must be able to manage client ESR/ABSA and Inventory
- **Collaboration**: Collaborate with project managers, contractors, and other team members to facilitate document-related communication and workflow and ensure all regulatory requirements are fulfilled and provide support to project Chief Inspector and Technical Manager requirements
- **Archiving**: Develop a system for archiving and preserving historical project documents for future reference or compliance purposes

**Required Qualifications**:

- 1 - 3 years’ experience in Document Management with background in Oil and Gas/ Integrity Industry
- Post-secondary training in document management, office administration, or related technical discipline is strongly preferred
- Proven ability to produce high quality work while facing competing priorities and strict deadlines
- Ability to prioritize activities, adapt to change, and stay focused in a dynamic environment
- Proficient in Bluebeam, MS Office suite (Word, Excel, PowerPoint), Outlook, Teams
- Excellent verbal and written communication skills
- Demonstrate sensitivity and discretion when working with confidential information

**Job Types**: Full-time Hourly Position

Work Location: In person in our Calgary Office

Pay: $30.00-$35.00 per hour

Expected hours: 40 per week
