Job Summary
The Research Coordinator's primary role is day-to-day management of the operations and administration of the Vaccine Evaluation Center (VEC). Responsibilities include participating in study project planning, strategy, and execution and to facilitate the operations of the VEC with investigators and VEC managers to achieve the center's short
- and long-term goals as a center of excellence in vaccine research.
Organizational Status
The Research Coordinator reports directly to the Director of the VEC, is directly involved with the management team, and provides research support to investigators of the VEC.
Work Performed
Designs and implements project management systems specific for the unit that forecast research activities, allowing the project coordinators to determine staffing needs. As well, determining which new studies can be accommodated in the calendar year based on the above systems. Inclusive in this management system will be the study progressions and deviation from original projected timeline.
As part of VEC management team, ensures general daily operations of the VEC: allocate resources, grant and contract administration, human resources, and communications meet the research needs.
Responsible for scheduling research staff and students, planning and developing work flow/plans for all research projects.
Writes and implements new policies and standard operating procedures for the purpose of conducting clinical research at the field level.
**Human Resources Management includes**:
Conducts annual performance evaluations/reviews.
Responsible for allocation of all staff time to match the demands of the active studies. This involves balancing staff workload and competing demands of several projects at once; ensuring that staffing is adequate for anticipated workload. This includes trouble-shooting on a daily basis when staff are ill and unexpected study activities are required.
Works as part of the VEC Management team to monitor human resource needs to ensure adequate staffing for the different types of research projects conducted under the VEC umbrella.
Responsible for new staff orientation and dealing with sensitive HR issues.
Manages staff and students payroll, leave and attendance.
Plans and coordinates staff recognition events for departures and long service.
Administers fire and safety regulations, disaster plans, emergency preparedness and health and safety regulations.
Liaises with the Department of Pediatrics, UBC HR, and UBC Workplace Health Services for HR related issues.
Works with the management team to ensure that the VEC is a work environment that provides job satisfaction for staff and students.
**General Responsibilities**:
Develops, evaluates and implements standard operating procedures to enhance the day to day functioning of the VEC office as an academic research unit.
Provides general and study-specific support and supervision to VEC staff and students.
Represents the VEC at meetings at BCCHR and liaises with other administrators on site to facilitate collaboration on common research goals.
Supports short and long term research communication strategies in collaboration with the KT coordinator(s). Helps to facilitate and write internal and external communications through newsletter and website. Liaison for public relations between BCCHR, BCCH, UBC and various health authorities.
