Security Clearance Clerk

As the **Security Clearance Clerk**

**You Will**:

- Receive _Personal History_ Forms and prepare paperwork and track the return of documents for the processing of security checks for all applicants, student placements, volunteers, band, chorus and auxiliary members, including sub-contractors, cleaning contractors, interpreters, Safety Village applicants, and special project personnel;
- Distribute forms for annual security renewals to all volunteers whose last security check is about to expire and tracks completion;
- Query individuals through the PRIDE RMS, Niche RMS system and reviews printouts from both Niche and CPIC. Query individuals through the _Ministry of Transportation Ontario_ database as required and reviews printouts. Read and disseminate records checks for service with the vulnerable sector. Add convictions, outstanding/pending and withdrawn, stayed and dismissed charges to the checks;
- Query the Firearms Interest Police (FIP) database for police records checks to identify positive FIP hits, print off occurrences and contact other police services via CPIC for more information regarding their FIP hits. Forward copies of security checks to Intelligence Branch to process an Intelligence check as required;
- Understand and provide information to applicants, volunteers and contractors about the requirement for a vulnerable sector records check and fingerprint procedures;
- Provide completed security checks to Supervisor for review and approval or denial. Approve security clearances when no adverse information is identified on an applicant or their family members;
- Inform appropriate contact regarding results of security checks. Prepare letters for applicants advising of status of security check as required; contacts applicant to pick up letter. File completed security checks;
- Respond to formal requests for information from the Canadian Security Intelligence Service (CSIS) and other police services for employment purposes. Determine if requesting agency is entitled to receive information under the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) and the Youth Criminal Justice Act (YCJA), and ensure appropriate waivers are signed and available;
- Search open source data and social media as part of the background process for applicants; prepare reports on each applicant and forward to Supervisor for review;
- Maintain knowledge of new trends and developments in the field of social media, online monitoring, and social media language and tools; and incorporate this knowledge into current best practices; and
- Perform other duties as required.

**You Have**:

- Successful completion of a two-year community college diploma in office administration, justice administration or related field;
- One (1) year of previous experience with the internet and social media including using best practices, trends and innovative and creative social media strategies and programs to search and acquire information;
- Knowledge of standardized office procedures and processes, proficient keyboarding skills, data entry, filing and file management, document organization, and letter and memo composition;
- Skill in the operation of a personal computer and knowledge of software programs such as Microsoft Word, Excel and Access. Ability to operate and find information using social media tools and platforms;
- Analytical, judgement and problem-solving skills required to search, identify and understand the results of the social media checks;
- Creativity skills to input variations of information into a social media tool to produce a result;
- Communication, interpersonal and exceptional customer service skills required to build rapport with applicants, volunteers, contractors and the general public and internal staff to obtain information as required, to draft routine correspondence and faxes, and to represent the police service in a positive, professional manner; and
- A valid Class “G” Driver’s License with no more than six (6) demerit points required to travel within and outside the Region.

**You Are**:

- Able to verbally respond to inquiries and to explain procedures regarding security checks;
- Able to complete the Using the Internet as an Intelligence Tool course and the Advanced open Source Intelligence Investigate course, with additional courses or training as required;
