Property Administrator

As a Property Administrator working closely with the _Condominium Property Manager_, you will play an important role in delivering top-tier service to our clients. Your responsibilities will include providing administrative support, building, and maintaining positive relationships within the organization, and ensuring efficient communication with Boards, residents, contractors, and trades alike.
**Key Responsibilities**:
**Communication and Relationship Management**:
- Establish and maintain excellent relationships within the organization, Boards, residents, contractors, and trades.
- Manage and respond to inquiries promptly to assist residents, tenants, owners, and external agencies.
- Update the Owner portal on the Bayshore website.
**Deadline Management**:
- Track critical deadlines using the property data tool.
- Review and manage upcoming Annual General Meetings, Budgets, Reserve Fund Studies, PICS, ICUS, etc., ensuring compliance with the Condominium Act 1998 and the CAO.
**Meeting Coordination**:
- Book meeting spaces or organize virtual meetings with platform providers.
- Attend monthly and/or annual meetings as required, take and prepare minutes in accordance with the Minute Taking Policy.
- This is out of normal office hours
- **Document Preparation and Issuance**:
- Prepare and issue accurate Status Certificates, maintaining all governing documents and financial updates as per the prescribed manner.
- Coordinate with accounting to update Voyager and pursue New owner paperwork.
**Financial and Audit Administration**:
- Follow-up on charge backs, monitor arrears and initiate lien processes at the direction of the Manager.
- Assist in Invoice management through Payscan.
- Collect and assemble, in the prescribed format, all documents, contracts, and minutes for year-end Audit activities.
**Correspondence and Communication**:
- Create professional correspondence including Rule reminder letters, Notices, e-blasts, Newsletters, etc.
- Obtain estimates from contractors, create work orders, and draft contracts by template for manager review.
**Administrative Tasks**:
- Process incoming/outgoing mail.
- Maintain a filing system for resident, operations, correspondence, and general building files.

Special assignments can be assigned from time to time by the Condominium Manager.
**Qualifications**:
- Previous experience in property management or related field.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in relevant in Microsoft Suite
Bonus if you have:
- Yardi Experience
- Knowledge of the Condominium Act 1998 and related regulations.
- Previous experience in property management or related field.
