**Role Responsibilities**:

If so, Transportation and Economic Corridors is looking for a passionate and experienced Executive Support professional to join the team.
This competition will be used to fill an Executive Support vacancy in an Assistant Deputy Minister Office (ADMO) reporting to the Issues Manager and directly supporting the Assistant Deputy Minister (ADM), Construction and Maintenance.
This position provides coordination for the day-to-day operations of the ADM’s Office, including scheduling and coordinating meetings and general office logistics. As the first point of contact to the ADM’s office, the EA represents the office when communicating with staff from other executive offices (i.e., the Deputy Minister’s Office or other ADM Offices), as well as internal and external stakeholders. This role also facilitates the flow of information to and from the ADM office and takes a proactive role in supporting the executive team including essential functions related to the coordination of Action Requests (ARs) for the division through ARTS.

This division is responsible for the delivery of the provincial highway and bridge projects as well as the management of the highway maintenance, operations, rehabilitation activities across the province in order to maintain the provincial highway network.

The Executive Support role responsibilities include but are not limited to:
Managing the day-to-day administrative operations of the ADMO:
- Support the Issues Manager to develop and maintain division administrative operations and correspondence;
- Ensure all administrative processes, policies and best practices are developed and maintained to support business needs; and
- Provide leadership, mentoring and development to other administrative team members within the division.
Maintaining the ADM’s Calendar and Schedule:
- Screen meeting requests, understanding the purpose and urgency, redirect requests where appropriate and resolve meeting conflicts;
- Coordinate and prepare background materials and agendas for meetings; and
- Make travel arrangements as required.
Coordinating Information / Action Requests:
- Initiate, assign, monitor and track Action Request responses, ensuring due dates are met;
- Review correspondence for accuracy, grammar and proper format; and
- Coordinate Freedom of Information and Privacy (FOIP) request activities, including searching for responsive records, coordinating the review of response packages, and facilitating ADM review and approval of release packages.
General Office Administration:
- Receiving and processing highly confidential and sensitive information and demonstrating excellent interpersonal and oral and written communication skills.
- Providing support in a highly professional manner with a high degree of autonomy, diplomacy and confidentiality.
- Responding effectively and knowledgeably to emerging issues and taking appropriate, and often independent action, within appropriate guidelines.
- Providing direction and guidance to other administrative support staff in the division and/or department related to systems and protocols or responding to questions related to procedures etc.
- Acting as an ambassador for the ADM, ensuring effective stakeholder management, and exhibiting strong interpersonal relationship and problem-solving skills when dealing with internal and external stakeholders.
