Kenpesq’t is seeking a highly organized Office Coordinator to become an integral part of our growth-focused and agile team. As Office Coordinator, you will be a cornerstone of our organizational success, providing essential support to ensure seamless operations across the board. Your responsibilities will span various crucial tasks, including being the main contact for business inquiries, handling accounts payable and receivable, coordinating meetings and travel, maintaining secure documents, and preparing reports and presentations. The role also involves overseeing vendor accounts, administering safety programs, managing digital platforms, and assisting with HR activities.

**Responsibilities**:

- Independently lead office and administration tasks.
- Serve as the primary point of contact for business inquiries and communication.
- Manage accounts payable (AP) and accounts receivable (AR) in Sage Intacct, ensuring accurate invoice coding, processing, payment tracking, and reconciliations.
- Coordinate and organize meetings, conferences, events, appointments, and travel arrangements.
- Ensure reliable and secure storage and access to digital and physical documents.
- Prepare and distribute meeting agendas, minutes, reports, presentations, and other relevant documents.
- Set up and manage vendor accounts and maintain vendor records.
- Administer corporate safety programs and coordinate employee training sessions.
- Manage the organization's LinkedIn page, social media platforms, and website to ensure accurate and engaging content.
- Assist in budget planning and financial report preparation.
- Support recruitment, onboarding, and other light HR-related activities.
- Provide document production support, including template development, formatting, and final quality assurance edits.
- Manage incoming and outgoing mail and packages.
- Conduct research, gather information, and prepare memos and briefs as needed.
- Ensure proactive management of office supplies and equipment.
- Perform other duties as assigned to support the team and office operations.

**Experience**:

- Experience in Administrative experience or office coordination role, preferably in project management, civil engineering, government, or construction settings.
- Certificate or diploma in business administration or equivalent field preferred.
- Experience with basic accounting tasks, including AP and AR management
- Familiarity with Sage Intacct a strong advantage.
- Proficiency in Microsoft Office Suite and familiarity with office equipment.
- Experience administering safety programs and coordinating training.
- Advanced knowledge of SharePoint, including lists and tools.
- Past Indigenous engagement experience or cultural sensitivity is an asset.

- High level of discretion and ability to handle sensitive information.
- Ability to work independently in a fast-paced environment with changing priorities.
- Excellent organizational and time management skills.
