Administrative Assistant

**Key Responsibilities**:
- Greet residents and guests with courtesy; direct visitors and answer inquiries.
- Handle incoming phone calls and direct them appropriately.
- Provide information on building services, neighborhood, and community amenities.
- Advocate for residents’ needs and requirements.
- Notify residents about maintenance or inspections.
- Manage activity signup sheets for the recreation department.
- Update and organize community information boards.
- Assist in managing the housekeeping schedule.
- Maintain work orders and purchase orders.
- Inventory, order, and manage office supplies.
- Book, track, and report guest suite rentals and common areas.
- Perform general reception duties.
**Minimum Educational/Experience Requirements**:
- High School Diploma required.
- Post-secondary education or equivalent administration training/experience is an asset.
- Minimum of two years of office administration experience.
**Proven Skills/Demonstrated Abilities**:
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Intermediate knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Strong customer service focus.
- Promote a positive team spirit and company image.
- Proven organizational, multi-tasking, and priority management skills.
- Handle sensitive and confidential assignments with tact and diplomacy.
- A caring attitude.
