Leavens Automotive Group is looking for a **Warranty Administrator/Internal Coordinator**to join our service team. This position plays a vital role in ensuring warranty claims are accurately processed, customer concerns are addressed, and all interactions reflect our commitment to a "Customer First" experience while also arranging internal workorders and sublets for vehicle deliveries. Reporting to the Service Manager, the Warranty Administrator/Internal Coordinator is responsible for managing all aspects of warranty and goodwill claims, including submissions, tracking, follow-ups, and coordinating with manufacturers, suppliers, and customers. This role is key to maximizing warranty returns while upholding manufacturer and dealership standards. **What You'll Be Doing**: **Warranty & Claims Management** - Prepare, submit, and follow up on all warranty and goodwill claims - Track outstanding claims and resubmit unpaid or returned claims - Handle warranty schedules and maintain accurate records for auditing - Interpret failure reports and compose detailed claim reports - Ensure warranty parts are handled and returned per OEM guidelines **Internal workorders** - Organize reconditioning of used vehicles (cleaning and safety) in a timely manner - Arrange sublets to prepare vehicles for delivery (linex,tint,rustproofing etc.) - Arrange accessories to be installed on deliveries of vehicles. - Send quotes for approval to pertinent manager for reconditioning. **Customer Support & Communication** - Act as a liaison between the dealership, customers, and manufacturers - Counsel customers regarding warranty decisions and concerns - Coordinate with technicians, supervisors, and workshop coordinators to streamline warranty processes **Administration & Reporting** - Maintain sub-ledger accuracy and make information readily available to management - Ensure all warranty-related documentation is complete and organized - Alert the Service Manager if work volume prevents timely completion of tasks - Support the front desk or reception area when needed **What We're Looking For**: - High school diploma required; post-secondary diploma or related trade certification preferred - Minimum 2 years of customer service experience - Strong organizational and time management skills - Familiarity with automotive terminology and warranty processes (an asset) - Proficient with Microsoft Excel, Word, and general computer systems - Excellent communication, negotiation, and conflict-resolution skills - Detail-oriented and numbers-driven - Experience with centralized billing systems is a plus - Team player with a positive attitude and strong accountability **Why Work With Us?**: - Supportive, team-focused work environment - RRSP matching and comprehensive benefits package - Ongoing training and opportunities for growth - Be part of a reputable automotive group with room to advance - Employee-first culture with a commitment to customer satisfaction **Want a peek inside life at Leavens?** **_ We thank all applicants for their interest; however, only those selected for an interview will be contacted._
