Company Introduction: T&T Supermarket Inc. was founded in 1993 with two stores in BC. Since then, it has expanded rapidly and is now Canada’s largest Asian supermarket chain with 37 stores across the country: 14 in BC, 7 in Alberta, 14 in Ontario, and 2 in Quebec. The Company’s continuous expansion is going to bring more new stores in the next couple of years.
The Role: Reporting to the Manager of Food Safety and Quality Assurance (FSQA) - Retail, the FSQA Administrative Assistant Analyst supports the FSQA department through a blend of administrative duties. These include, but are not limited to, document management, FSQA program administration, and invoice/payment processing. The role also requires flexibility to multitask and assist various FSQA sub-teams.
- Major Responsibilities: Provide administrative support to the FSQA department, including document organization and data entry.
- Manage departmental communications, coordinate meetings, prepare agendas, and distribute meeting minutes.
- Maintain office supply inventory and handle procurement.
- Administer FSQA programs by scheduling, tracking, and reporting progress.
- Maintain, organize, and update FSQA documentation, including policies, procedures, and supplier records.
- Support FSQA training program coordination.
- Conduct regulatory compliance checks on product labels.
- Assist in preparing for audits and inspections.
- Support responses to food safety incidents and customer complaints.
- Coordinate product withdrawals and recalls as needed.
- Maintain databases and spreadsheets to track FSQA metrics.
- Generate reports and presentations related to FSQA performance.
- Coordinate and collect product samples for lab testing or inspections.
- Serve as a liaison between FSQA and internal/external stakeholders.
- Provide flexible support to FSQA sub-teams as needed.
- Process invoices and payments related to FSQA activities.
- Knowledge, Skills and Ability Requirements: Post-secondary or postgraduate education in a related field is preferred.
- Minimum 1 year of experience in quality assurance or regulatory affairs in the food industry.
- Previous experience in an administrative support role, ideally in the food sector.
- Familiarity with food safety regulations and standards (e.g., HACCP, GMP) is an asset.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Proven ability to multi-task and prioritize key deliverables.
- Capable of working under pressure and meeting tight deadlines.
- Strong written and verbal communication skills.
- Effective interpersonal skills and ability to work both independently and in a team.
- Able to maintain confidentiality in all aspects of work.
- Flexibility to work outside regular hours, including weekends and holidays, as needed.
- Valid driver’s license and ability to travel locally.
- Fluent in written and spoken English
- Ability to communicate in Chinese (Mandarin or Cantonese) is an asset.
