**Responsible To**:National HR Director
L’Arche Canada is seeking a bilingual, energetic, passionate and detailed individual who is eager to join the HR team. This person will oversee the National bi-weekly payroll process using ADP’s Work Force Now They will be responsible for assisting the communities in Quebec in all related areas of their responsibilities with regards to payroll. They will oversee the payroll operations of L’Arche Canada and the remaining communities as required. Collaboration with the Finance department and HR team is key.
**Major Duties and Responsibilities**: The primary function of this bilingual role is to ensure the successful submission of payroll on a biweekly basis.**
- Participate and assist in payroll production and timely completion for all L’Arche communities in Canada as required.
- Ensure the integrity of the process and review accuracy of data.
- Produces reliable and standard compliant reports for, but not limited to:
- Payroll production, statistical and financial records
- Government remittance and employee benefits
- Delivery of human resource metrics and related training
- Assist in the investigation of data anomalies or processing issues affecting employee compensation and benefits and ensure appropriate corrections or adjustments are made.
- Contribute to the adaptation, improvement and delivery of various data entry and reporting processes, including variations that arise as a result of legislative changes, and other required adjustments.
- Issue ROE’s
- Ensure protection of personal information data and compliance with privacy legislation.
- Reconcile payroll biweekly and provide explanations of variations to the finance team/HR team.
- Maintain and update payroll system with employee changes such as terminations and leave of absence.
- Prepare biweekly journal entries and post payroll entries in QuickBooks Online.
- Update and maintain the benefit module for all communities.
- Stay current on payroll and benefits legislation, ensuring compliance across all communities
- Submit RRSP amounts monthly to the community’s provider
- Reconcile RRSP and benefits on a quarterly basis
- Oversee and make adjustments in the General Ledger module as needed for all communities
- Regular training with members of the community on the HRIS and assisting them with all payroll adjustments
- Training to assist communities as issues arise with their payroll entries and reconciliations
- Correcting and amending prior pays by either manually recalculating past employee payments or adjusting YTD amounts as needed
- Auditing and reconciling past employees’ payroll as needed
**Qualifications**:
- Experience or training in cloud-based payroll is necessary preferably with ADP Work Force Now payroll
- Experience with the Microsoft-365 platform and its collaborative tools related to teamwork, proficiency in Excel spreadsheet.
- College Diploma or Degree in related field such as Payroll, Human Resources, Business or Accounting
- At least 2-5 years work experience in payroll with experience in multi-Province payroll processing an asset (note this job is not for entry level, you need to come in with payroll experience)
- Previous experience in a multi-divisional payroll environment is an asset
- Must be proficient in payroll legislation, income tax forms, benefits programs, RRSP, and ROEs
- Experience in all year-end processing activities such as annual reconciliations, T4’s, and RL1’s.
- Experience with QuickBooks online would be an asset
- Strong knowledge of General Ledgers and accounting principles around payroll accounting entries
- Ability to manage changing priorities and ensure timely task completion
- Ability to handle sensitive information with professionalism and confidentiality
- Good administrative skills: time management skills to meet deadlines and manage multiple concurrent tasks.
- Good interpersonal skills; excellent verbal and written communication skills in English and French, capacity to operate in both languages.
- Proven ability to be detail oriented with excellent analytical, problem solving and project management skills.
