The Faculty of Information and Media Studies is dedicated to the advancement of knowledge about media, communications, information and their technologies. The Faculty interweaves theory and practice in professional and scholarly contexts. Strong programs at the undergraduate and graduate levels are linked to public and private sectors and to community organizations, in an academic environment characterized by interdisciplinarity, collaboration, creative inquiry, and critical thinking.
**Responsibilities**:
The Manager, Graduate Student Services is a senior level managerial position in the non-departmentalized Faculty of Information and Media Studies. There are currently two professional graduate programs (MLIS and MHIS) running on a trimester basis and one of these programs, the MLIS, intakes graduate students three times a year. There are six other research-focused graduate programs currently being offered, including: LIS PhD, MS PhD, HIS PhD, MSMA, one-year MHIS and two-year MHIS.
In conjunction with the Associate Dean and Graduate Chairs, the Manager, Graduate Student Services provides leadership in the areas of academic and administrative support for all of the graduate programs in the Faculty ensuring success of FIMS graduate programs. The Manager ensures clear and current information is available, efficient processes are in place and appropriate support is available for faculty and students as they deliver and progress through the various graduate programs. The role ensures continuity within graduate student services throughout changes in academic leadership; ensuring smooth transitions between Associate Deans/Graduate Chairs and smooth and appropriate onboarding of Associate Deans/Graduate Chairs.
**Qualifications**:
- Education:
- Master’s degree; MLIS or MMJC preferred
- Experience:
- 5 years’ professional experience in student support/academic counselling
- Experience in analyzing, interpreting policies and developing appropriate procedures
- Demonstrated leadership experience in a fast-paced environment
- Demonstrated work history of establishing and maintaining positive professional relationships with a variety of stakeholders at all levels
- Previous supervisory experience in a unionized environment preferred
- Knowledge, Skills & Abilities:
- Ability to listen, inform, explain, and advise students on academic processes and regulations
- Interpersonal skills to liaise with prospective and current students, staff, faculty and other members of the Western community
- Excellent verbal and written communication skills and confidence dealing with all levels of an organization
- Excellent interpersonal skills with the ability to coach team members as well as support internal/external clients
- Self motivated and ability to work in a fast-paced environment, meet tight deadlines and adapt to growth and change
- A well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills
- Ability to collaborate and develop credible relationships with a wide variety of individuals
- Analytical skills to accurately interpret and integrate report data from various sources
- Service-oriented with the ability to establish processes to address issues promptly
- Ability to make appropriate decisions and resolve issues by identifying the critical elements of a problem situation and considering each aspect
- Ability to promote individual growth by encouraging others to learn new skills and develop themselves
- Self-directed, and comfortable exercising discretion and independent judgment in a fast-paced environment
- Ability to perceive and understand the emotions of others and interact with them appropriately based on those emotions
- Ability to work within a flexible schedule to accommodate the University’s events and activities
- Competency to maintain confidentiality and treat sensitive information with discretion
- Intermediate computer skills in Microsoft Office Suite
