**JOB SUMMARY**

Under the supervision of the Director of Client Relations and/or Project Manager, the Project Coordinator will be accountable for coordinating or managing the execution of print/digital projects and initiatives that contribute to Elite Digital’s operations. They will work with the CPG client contest team in order to assist in the fulfillment of contest prizing, verifications, consumer communication, reports and other various duties according to the rules of each specific contest and required by the role. They will work closely with internal teams and be responsible for engaging appropriate cross‐department expertise to ensure projects and tasks are delivered on time, on budget and to the highest quality.

**KEY RESPONSIBILITIES**
- Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
- Develop and maintain work back schedules, Gantt (or other) Charts, project plans and status reports to be shared with clients and various levels of internal stakeholders
- Provide clear instructions and feedback to internal teams (design, development, etc.) to set expectations and ensure all members are aligned on the project plan and understand delegated tasks
- Proactively troubleshoot and solve problems, and know when to escalate to management with clear and concise communication
- Track KPIs to analyze project performance, identify areas for improvement and evaluate the successful completion of goals
- Create and maintain project artifacts, templates and documentation
- Document project insights in the lessons learned repository
- Analyze and appraise current practices: Proactively informs/initiates/recommends new processes and procedures in order to increase efficiencies and effectiveness in achieving project portfolio deliverables
- Actively participate in idea generation to elevate the work and reputation of Elite Digital’s Operations
- Champions best practices and adherence to project management methodology and Elite Digital processes
- May be responsible for coordinating small client retainers, projects or contests, with the assistance of Account Manager/Project Manager or Director of Client Relations oversight and guidance
- Responsible for actively using Retool and Zendesk tools in the managing of contests where applicable, and ensuring all documentation regarding these tools are up to date

**EDUCATION & TRAINING**
- Bachelor’s degree in appropriate field OR equivalent experience
- PMP or CAPM/PRINCE II certification (an asset)

**EXPERIENCE, SKILLS & COMPETENCIES**
- 2+ years of project management (preferably in an agency setting or digital environment)
- Must have experience in waterfall and/or agile methodologies within a marketing and/or digital projects team
- Must have experience working with cross-functional teams such as designers and developers
- Nice to have experience managing projects in ClickUp
- Must be familiar with online meeting platforms such as Google Meet, Microsoft Teams and WebEx
- Nice to have solid working knowledge of Slack
- Must be proficient in MS Office Suite (primarily Word and Excel) and Google Suite
- Effective written and verbal communication skills across various teams, seniority levels and client stakeholders
- A high level of attention to detail with excellent time management skills
- Ability to work independently on projects with mínimal supervision
- Ability to manage projects and handle multiple responsibilities in a fast-paced work environment
- Uses critical thinking skills to make data-driven and informed decisions
- Collaborative and solution-focused mindset
- Strong sense of personal responsibility, integrity and accountability
- Experience in the healthcare industry is an asset
