Procurement Specialist

**Job Summary**
The Procurement Specialist will be responsible for the end-to-end procurement process including the sourcing, negotiation, and selection of goods and services to optimize business, shop, and project operations performance and profitability. They will develop processes, benchmarks and checkpoints to identify and select suppliers, evaluate Requests for Proposal (RFPs), approve purchasing requests, establish payment terms, strategically vet and negotiate contracts, approve purchase orders and ensure shipping, receiving of invoices and payments of goods are aligned and accurately tracked. To be successful, the incumbent will establish positive relationships and manage supplier networks, collect and analyze information for long-term trends, train staff, and find ways to improve processes and optimize purchasing systems.
**Responsibilities**:
- Manage procurement activities, including contract negotiation, vendor/supplier management, logistics, and inventory control.
- Develop and implement procurement strategies to ensure cost-effective and timely delivery of goods and services.
- Collaborate with internal stakeholders to understand business needs and requirements.
- Conduct market research to identify potential suppliers and evaluate their products and services.
- Negotiate contracts with suppliers to obtain the best price, quality, and delivery terms.
- Monitor supplier performance to ensure compliance with contract terms and conditions.
- Manage inventory levels to ensure adequate supply while minimizing excess inventory.
- Oversee the receiving of purchases to ensure resources are allocated to projects and worksites.
- Prepare purchase orders for approved requisitions, track receipts, and investigate discrepancies.
- Other duties as assigned.
**Qualifications**:
- **Education, training, and experience**_
- Diploma/Degree in business administration, supply chain management or related field.
- 3+ years of experience in procurement/purchasing administration and supply chain management.
- Experience managing vendors, conducting price comparisons and negotiating quantities, prices and terms.
- Supervisory and training experience to build staff capabilities and performance.
- **Technical skills and proficiency**_
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and Outlook
- Proficiency with SAGE 100 or similar Enterprise Resource Planning (ERP) software
- IBM Blueworks and/or other process mapping and data management software is an asset.
- Proficient in scheduling and capable of producing complex scheduling plans and reports.

- Strong knowledge of procurement processes, including contract management, supplier management, logistics, and inventory control.
- Excellent negotiation skills with the ability to obtain the best price, quality, and delivery terms from suppliers.
- Strong analytical skills with the ability to conduct market research and analyze data to make informed decisions and achieve business outcomes.
- Excellent communication skills with the ability to collaborate effectively with internal stakeholders and external suppliers and motivate staff.
- Strong attention to detail and accuracy in records keeping and documentation.
- Excellent time management skills with the ability to multi-task and work under time constraints.
- Ability to create reports with controls to cross-reference procurement with accounts payable and identify discrepancies.
**Job Types**: Full-time, Part-time, Permanent
