PPF Group and Farm Life, are looking for a highly organized and pro-active Planning Coordinator to join our growing team. This role is ideal for someone who thrives in a dynamic environment, enjoys working closely with clients and advisors, and is passionate about helping families succeed in transitioning their businesses, farms and their wealth across generations.
You will play a critical role in supporting client engagements, managing project timelines, coordinating professional teams and deliverables to ensure the seamless delivery of our services and outcomes to clients.
This position is ON SITE but WILL require travel to client sites AND...opportunities to work from home.
Key Responsibilities
Succession, Exit Planning and Multi-Generational Wealth Planning
- Support lead advisors in client meetings by preparing materials, capturing key insights, and coordinating follow-ups
- Manage all client files and project timelines to ensure deliverables are met on time and aligned with client goals
- Coordinate implementation of recommendations across legal, tax, and financial professionals
- Maintain and update client records in Dynamics CRM, ensuring accuracy and completeness
- Track progress against client objectives and flag any risks to timelines or outcomes
- Assist in the development and refinement of templates, tools, and internal processes
- Contribute to the planning and execution of events, education, and peer network initiatives
- Prepare strategic presentations and proposals, including timelines, milestones, and deliverables
- Assist in coordinating and developing strategic projects (ie. Digital learning platform)
- Draft budgets, income plans and utilize financial planning tool to produce reports for clients.

Administrative & Technological Support
- Use and deployment of Office 365 Dynamics to manage projects and track consulting time
- Assist with billing and invoicing through QuickBooks Online (QBO), ensuring efficiency and accuracy
- Help onboard and offboard clients, ensuring a high standard of service throughout the client journey
- Respond to client inquiries
- Support implementation of new technology tools that enhance service delivery and internal efficiency

Data Collection & Business Intelligence
- Collect, organize, and analyze key data related to business operations and family business systems
- Identify trends, patterns, and opportunities using both qualitative and quantitative methods
- Present data insights and business metrics to inform family and business decision-making
- Maintain accuracy and completeness of records across platforms

What You Bring

**Skills**:

- A university degree is required
- Strong project coordination and organizational abilities
- Excellent communication—both written and interpersonal
- High attention to detail with a process-driven mindset
- Analytical thinking and a natural ability to connect insights and strategy

Knowledge
- Familiarity or some exposure to family enterprise concepts, succession planning, exit planning, coaching, business planning or governance frameworks is an asset
- Familiarity with farm succession rules and procedures, finance, accounting and/or tax preferred, but not required
- Experience with Microsoft Office 365, especially Excel, PowerPoint, and Dynamics
- Understanding of financial services or professional consulting environments preferred
- Comfortable with technology platforms, CRM systems, and data analysis tools
