Olympic Service, a division of Olympic International Sales, is rapidly growing, and we are seeking highly skilled and motivated individuals to join our team We specialize in servicing and maintaining HVAC equipment, such as Daikin Comfort, Daikin Applied, Aermec, and various other products. **Role Overview**:
The Service Coordinator role is the primary point of contact for our employees and customers. As a central point of communication, the position requires strong organizational and communication skills, but also exceptional attention to detail. We are looking for someone with a positive, outgoing, and professional can-do attitude. The Service Coordinator performs a variety of administrative and clerical duties, coordinates a range of day-to-day business operations, and managerial services or office duties. Essential part of the job will be dispatching technicians to the job sites and coordinate activities according to work orders or client requests.
This role reports to the Field Service Manager.
**Key Responsibilities**:
- Handling front-line customer calls and service inquiries.
- Dispatching Service Technicians with the necessary parts to perform the job.
- Staying in touch with Technicians on the job, answering questions, and solving problems, including tracking parts, staying within service limits, and obtaining appropriate customer approval.
- Optimizing resource utilization by coordinating multiple service requests and prioritizing tasks based on urgency and customer requirements, following up with customers to meet their service resolution process.
- Reviewing schedule requisitions, distances, personnel availability, and other pertinent information to minimize operating costs and time-efficiency.
- Anticipating and planning for increases/decreases in service volumes, shifting resources in response to seasonal and other fluctuations.
- Recording and distributing information to appropriate departments, including site information, service issues, sales opportunities, dispatch activities, and workplace safety issues in our internal systems.
- Coordinating office and warehouse activities, managing shipments, inventory, and office supplies.
- Maintaining job and administrative files, formatting reports, managing work reports, and taking meeting minutes.
- Managing Technicians and fleet maintenance schedules.
- Providing scheduling and logístical support for meetings, events, travel, field schedules, and reservation arrangements.
- Fulfilling additional responsibilities as assigned.
**Qualifications & Skills**:
Education, Licenses and/or Certification, Experience Required
- Minimum 2-3 years of administrative experience; experience in an HVAC environment is considered an asset.
- Proven (1 year+) experience in service dispatch, scheduling, or dispatching roles, preferably in a technical or field service environment.
- Strong MS Office skills, computer literacy.
- Exceptional communication skills, both written and verbal.
- Ability to work independently and/or in team under mínimal supervision.
- Ability to own the role.
- Proven ability to multitask, stay organized in a fast-paced dynamic environment, and follow through with deadlines.
- Strong organizational, time management, and prioritization skills, including personal agility and attention to detail.

Pay: $45,000.00-$55,000.00 per year
