KOTT Inc.’s goal is to get our customers what they need, when they need it, and our Sales Department plays a huge role in keeping our promise. We are looking for an organized and computer-savvy team player to join our Uxbridge Sales team as a Sales Administrator.
**What’s the opportunity?**
In this role, you are ‘mission control’ for communicating our customers’ needs and timelines to internal stakeholders, so that customer expectations and internal capacity are aligned. You ensure that the latest available updates are captured in our Enterprise Resource Planning (ERP) system, so that we build and ship customer orders on time, in full. Every day, you will have the opportunity to highlight your organizational skills, attention to detail and ability to multi-task in a fast-paced environment. You take initiative and work well independently, but also relish being part of a collaborative, connected team.
- **Your day-to-day**_
- Triage and coordinate responses to incoming inquiries from customers
- Prepare customer price quotes
- Monitor customer portals and other information sources for updates on projects under contract
- Ensure that all updates about project specs and required dates are entered in our ERP system accurately and completely
- Set up new customers, new jobs and new contracts in our ERP system as needed
- Ensure customer contract pricing and special billings are kept up to date in our ERP system
- Verify incoming customer Purchase Orders against contract prices
- Liaise with Finance, Purchasing, Marketing and Operations to provide information as needed
- Other sales support duties as required
**What you need to succeed**
- At least one year of administrative or coordination experience is strongly preferred
- Strong customer service orientation and capabilities
- Strong computer skills required, including proficiency in MS Office suite (primarily Outlook, Excel, Word)
- Experience working in enterprise resource planning systems or customer databases
- Understanding of residential construction practices is an asset
- Experience working in a manufacturing or production environment is an asset
- Quality and detail oriented
- Ability to work well as part of a team
- Strong administrative and multitasking skills
- Excellent time management
- Great verbal and written communications skills
