**Laboratory Coordinator**

**Reports To**: Laboratory Manager

**Work Location**:545 Superior Street, Victoria, B.C, On-site

**Work Schedule**:7.5 hours per day/37.5 hours per week. 7:30am - 3:30pm

**Overview**:

- Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre:_

Reporting to the Laboratory Manager, the Lab Coordinator is pivotal to the organization - this role focuses on providing confidential administrative support for the lab and our patients. This position does not perform clinical andrology, phlebotomy, or embryology procedures.

**Key Areas of Involvement Include**:
1. Organizes the shipment and receipt of embryos, eggs, and sperm.

a. Tracks all shipments out to ensure safe arrival.

b. Enters patients into EMR if not already present.

c. Ensures all shipping consents are signed and witnesses/notarized.

d. Ensures all infectious disease results have been received - follow up with patients and/or clinic for any missing results.

e. Confirms paperwork with embryologists and doctor before approving shipment.

f. Notifies lab team of incoming shipments so lab staff are available for unpacking and tracking.

g. Assists with packing of biological substances.

2. Helps embryologists perform morning checks by writing fertilization results and embryo grades. Enter results on the worksheets and into EMR.

3. Helps embryologists with the identification of dishes/embryos through the day as needed.

4. Books sperm freezes, trial washes, and sperm analysis, including setting up patients into EMR if not already present.

a. Liaises with lab staff to determine if additional andrology testing is to be booked.

5. Catalogues all laboratory records both digitally and physically; regular patient chart maintenance and preparation.

a. Enters fertilization results/embryo grades on EMR; maintains the Blue Book current.

b. Reviews flowsheets, cycle order plans, progress reports, infectious disease testing, consent forms, nurse/physician instructions and all other relevant documents to prepare embryology patient charts including, OPU, biopsy, transfer and CPER documents.

c. Communicates with nurses/physicians to resolve any outstanding issues with flowsheets, cycle order plans and progress notes.

d. Prepares embryology patient charts, including OPU, biopsy, transfer, and CPER documents.

6. Arranges all discard consent signing for patients with appropriate staff.

a. Calls patients with fertilization results where appropriate and enters progress reports into EMR.

b. Discusses and secures patients approval to biopsy blastocysts if necessary. Writes a progress report and communicates with the Finance Department for billing.

c. Calls patients to schedule fresh transfers.

d. Ensures patients’ family doctors/urologists receive their andrology results.

8. Assists senior embryologists in selection of frozen embryos to be thawed.

9. Maintains laboratory supplies for andrology and embryology, performing inventory counts and replenishing stock as necessary.

a. Organizes lab supplies and ensures they kept in the correct location with proper storage.

10. Answers all incoming laboratory department phone calls and maintains the laboratory phone system (i.e., voice mail, outgoing messages, etc.).

11. Attends and participates in all Laboratory Department meetings; completes and distributes meeting minutes.

12. Assists Embryologists with quality control as needed.

13. Supports lab team with correct labeling of dishes, straws, and other materials as needed.

14. Performs other related duties as assigned.

**Prerequisites, Knowledge, Skills, and Abilities**:
1. Medical Office Assistant diploma from an accredited institution, plus two (2) years’ recent, related experience, or an equivalent combination of education, training, and experience.

2. Intermediate to advanced knowledge in EMR systems, MS Office, Outlook.

3. Advanced knowledge of preparatory, administrative, and support embryology procedures, including review of flowsheets, cycle order plans, preparation of embryology charts, writing and making of culture dishes, entering embryology data on worksheets and EMR, and communicating with patients. Training will be provided if necessary.

4. Moderate knowledge of andrology and embryology without the ability to perform clinical embryology procedures. Training will be provided if necessary.

5. Physical activities, such as bending, lifting up to 50lbs, and climbing are necessary to adequately perform daily duties.

6. Fluency in the English language is necessary to properly and clearly communicate with staff and patients.

**Job Types**: Full-time, Permanent

Pay: From $26.00 per hour

Expected hours: 37.5 per week
