Join Our Team: Temporary Administrative Assistant (Up to 18 Months)
Location: EPCOR Tower, Downtown Edmonton

We’re looking for a highly organized and proactive Administrative Assistant to join our Water Services - Linear Asset Services Team for a temporary full-time role lasting up to 18 months.

In this role, you’ll be supporting the Development and Infill Servicing team, helping to keep things running smoothly behind the scenes. You’ll be involved in:

- Pulling together documents for review and approval
- Keeping records up to date and organized
- Taking meeting minutes
- Managing SharePoint sites and other work systems
- Supporting land administration and water/sewer servicing tasks

You’ll report to the Infill Servicing Manager and work within the guidelines they’ve set. It’s a great opportunity to contribute to meaningful work while building your experience in a dynamic environment.

**What you’d be responsible for**

The Administrative Assistant will report directly to the Infill Servicing Manager and your key accountabilities in the role include, but are not limited to:
Your day will be a mix of coordination, organization, and support across several key areas:

- ** Records & Document Handling**: You’ll keep both digital and physical land administration documents organized. This includes uploading files to SharePoint and creating records in the PD Index.
- ** Mapping & Property Info**: Using geospatial systems, you’ll help identify property locations, URWs, and water and wastewater infrastructure - supporting the team with accurate land data.
- ** Land File Review**: You’ll assist the Land Administration Analyst in interpreting land files like real property reports, land titles, survey plans, and legal descriptions.
- ** Crossing Requests**: You’ll help determine what kind of land crossing agreement is needed—whether it’s a URW consent, crossing agreement, proximity agreement, or something else.
- ** Developer Submissions**: You’ll receive and process submissions from developers, create jobs in POSSE, and ensure all documentation is complete and correctly formatted. If not, you’ll follow up with applicants.
- ** Payment Processing**: You’ll handle incoming payments, work with Treasury and Finance to resolve issues, and create requests for invoices and payments related to service installations.
- ** Procurement Support**: You’ll assist with purchase requisitions and invoice processing to keep procurement running smoothly.
- ** Data Entry & Systems Use**: You’ll work across multiple platforms—POSSE, Ivara, Geofit, PD Land Index, and Microsoft tools like Teams, SharePoint, and Excel.
- ** General Admin Support**: From ordering supplies and scheduling meetings to organizing events and submitting IT service requests, you’ll be the go-to for keeping things on track.

**What’s required to be successful**

Qualifications, experience and behaviours you possess are:
**Knowledge, Training & Education**
- A **high school diploma, GED, or equivalent** is required.
- Completion of a certificate program related to land administration, administrative support or office is preferred.
- You bring at least **4 years of experience** as an administrative assistant, land analyst, or in a similar role.

**Technical Skills**
- Familiarity with **EPCOR Water systems** such as Microstation, Ivara/Geofit, POSSE, and PD Land Index.
- Comfortable working with **Oracle, Adobe**, and the **Microsoft Office Suite** (Word, Excel, PowerPoint, Teams, SharePoint, etc.).
- Able to **analyze and interpret plans**, proactively identifying potential issues.
- Confident in reading and understanding **land title documents, survey plans, legal land descriptions**, and related materials.
