**THE OPPORTUNITY**

We are looking for **a Payroll and HR Administrator** to join our The Gardens team in Qualicum Beach, B.C.

Reporting to the General Manager, owners and/or designate. This position requires a high attention to detail, great organization, and time management skills. The work involves processing the payroll in a timely and accurate manner. Regular tasks also consist of interpreting complex collective agreement (HEU) and regulations, supporting other departments on the same to ensure compliance with internal and external policies, as well as communicating with external parties and solving payroll issues. While providing HR administrative support to the management team and employees.

**Duties and Responsibilities**:
**Payroll**
- Prepare a unionized bi-weekly payroll using ComVida (Payroll System used by the business) and submit to Head Office for final review and processing
- Processing time off requests, and maintaining a timekeeping system
- Updating in Comvida the applicable coding for employees on LOA, WCB, GRTW
- Process payroll changes to employee data - rate increases, wage levelling adjustments, status change, address, banking information, calculate retroactive pay
- Audits daily line-up sheets to ensure that overtime worked has been approved by management.
- Adding/updating and generating rotations in Comvida
- Daily shifts handling, clearing of exceptions and adding extensions to shifts on a daily basis; overtime coding to align with the collective agreement, department, and cost center
- Accurately process new hires and terminations in ComVida
- Enroll all new hires in the time clock
- Maintain seniority list and submit to HEU twice a year as required
- Investigate and correct payroll discrepancies
- Address employees pay related concerns/inquires and provide accurate payroll information in a timely and effective manner
- Provide information for benefits plan and group RRSP entitlements to eligible union and non-union employees
- Provide and assist new hires to register in ComVida for Self-Serve
- Working collaboratively with the Head Office team to improve the efficiency of payroll processes and practices; test software upgrades and liaises with the payroll provider, making recommendations and problem-solving issues that arise
- Other duties as assigned by management and Head Office team
- In absence of department managers - assist in department schedules to cover staffing and planned vacancies; This may also include coordinating shift coverage for unplanned short-term vacancies (i.e short calls; due to sick calls, vacations, LOA etc.)
- Prepares and post staff rotations and schedules twice annually and update as required.
- Data entry of all scheduling changes into ComVida
- Import Time File from Advanced Tracker to ComVida
- Implement the Electronic scheduling text/call out feature using Twilio

**HR & Administrative**
- Prepare employment contracts for unionized employees.
- On-board new hires and organize new hire orientation and training
- Requesting various outstanding information from external and third-party regarding any employee leaves absences etc.
- Support the management team with booking interviews as required and various administrative functions as required.
- Ad hoc HR project as assigned.
- Tracking of Criminal Record Check and TB results.
- Create, maintain and file all employee personal correspondence
- Ensure all applicable documents are obtained for all new hires as per checklist.
- Actively follow up with employees for missing documents to ensure personnel files are in compliance with the Health Authority.

**Skills and Requirements**:

- Payroll Compliance Practitioner Certificate (PCP) or working towards
- 1+ year of payroll & HR administration experience and

experience in ComVida payroll system (preferred)
- Solid understanding of the current collective agreement, legislations, payroll processes and procedures
- Accuracy and superior attention to detail
- Ability to work well in a team-oriented environment
- Willingness to go above and beyond in order to meet deadlines
- Ability to exercise tact and discretion in dealing with sensitive and confidential information.
- Strong experience with Microsoft Suite: Outlook, Teams, Word, Excel
- Ability to plan and organize workload so that priorities developed are consistent with functional requirements
- Ability to master new software quickly
- Flexible, adaptable, responsive to change in a positive and tactful manner.
