**Key Responsibilities**:
- **Treatment Coordination**:
- Schedule patient appointments and coordinate treatments according to dental providers’ availability and patient preferences.
- Communicate treatment plans to patients, ensuring they fully understand procedures, costs, and expected outcomes.
- Work closely with dentists and hygienists to ensure all necessary information is gathered for treatment planning and follow-ups.
- Provide patients with estimated treatment costs and work with insurance companies to verify coverage and facilitate pre-authorizations when necessary.
- **Administrative Support**:
- Maintain patient records, ensuring all information is up-to-date, accurate, and compliant with privacy regulations.
- Handle billing and insurance processing, including submitting claims and tracking payments.
- Assist in the preparation of treatment rooms and ensure all necessary equipment and materials are available.
- **Patient Relations**:
- Greet patients and ensure a positive experience from check-in to treatment completion.
- Address patient concerns and provide support as needed throughout their treatment journey.
- Help educate patients on preventative care and follow-up procedures, reinforcing the dentist’s recommendations.
**Qualifications**:
- **Education & Certification**:
- High school diploma or equivalent required; post-secondary education in healthcare administration or a related field is an asset.
- Experience in dental office administration or treatment coordination is highly preferred.
- **Skills & Experience**:
- Minimum of 2 years of experience is required.
- Strong knowledge of dental procedures, terminology, and treatment plans.
- Proven experience with dental software and office management systems (i.e., Maxident, Dentrix, AkituOne).
- Knowledge of dental insurance plans and pre-authorizations.
- Excellent organizational and multitasking abilities, with attention to detail.
- Exceptional communication skills, both written and verbal, with the ability to explain complex information clearly and compassionately.
- Ability to handle sensitive patient information and maintain confidentiality in line with applicable regulations.
- **Personal Attributes**:
- A friendly and patient-oriented demeanor with a passion for customer service.
- Self-motivated, dependable, and able to work well independently or as part of a team.
- A proactive approach to problem-solving and the ability to stay calm under pressure.
**Working Conditions**:
- Work Schedule: The regular work week will be the hours clinic is open. However, it may change, depending on the business needs. Weekends and Evenings availability is required.
- Work Environment: Primarily office-based in a clinical dental practice setting. Will be required to interact with patients in a professional and caring manner.
- Physical Requirements: The position requires sitting for extended periods, occasional light lifting (up to 25 lbs), and the ability to move between workstations as necessary.
