The Administrator, Records and Information Management is a pivotal member of the Knowledge and Risk Management team reporting to the Director, Professional Support.
**Specific responsibilities include**:
- Information Management_
- Creating Closing Books/Record Books in different formats and on different platforms and maintaining our Closing Book/Record Book inventory;
- Researching Estates matters and managing the content of the Estates Vault;
- Training other firm members on our Closing Books/Records Books procedures and other information management and digitization processes;
- Assisting with managing our historical records in both hardcopy and electronic format, including preparing and processing files and boxes for offsite storage or destruction in accordance with firm policies and procedures;
- Assisting with maintaining our records databases to ensure they are accurate and up-to-date;
- Supporting the auditing and managing the location of information and records throughout the law firm’s premises;
- Developing expertise on the following internal and cloud-based platforms: 3E, WorkFlow, MinuteBox, Closing Folders, DM (document management), Interaction and Emergent;
- Maintaining up to date client contact information in the firm’s Customer Relationship Management system (Interaction); and
- Redirecting unusual mail to the correct legal professional.
- Team and Firm Support_
- Responding to information and records related queries or requests from firm members; and
- Supporting team members with key tasks, including but not limited to managing offsite storage and the restricted trading list.
- Proficiency in role-specific software and platforms, research and searching.
- The ability to change, adapt and go with the flow, especially with respect to the adoption of new technologies.
- An eye for detail and a tendency towards perfection.
- Solid written and verbal communication skills.
- A self-starter with a strong work ethic, and a team player with excellent client service skills.
