Assistant to The Directors, Athletics term

**This is a term position from March 23, 2026**- March 19, 2027**

Wesmen Athletics includes all Wesmen varsity programs that compete in the Canada West Athletics Association and USPORTS, and serves student-athletes, coaches, integrated support staff, alumni, fans, and community members by providing exceptional sport programming.

The **Assistant to the Directors is a full-time term position** responsible for providing administrative support, primarily with respect to financial matters, to the Athletics management team.

**Responsibilities**:

- Assists in the preparation of annual budget submissions.
- Monitors budget reports to ensure charges and credits have been processed correctly; follows up to address discrepancies and make corrections.
- Monitors status of actual income/expenditures compared to budget.
- Provides budget status updates, as requested.
- Generates monthly budget reports and other financial information. Provides some preliminary analysis, statistics and forecasting of reports, as requested.
- Provides analyses of prior year purchases and communicates with Directors for upcoming requirements.
- Keeps budget managers informed, records developments and changes in programs, and projects how they may affect the budget.
- Processes all accounting transactions.
- Generates invoices and/or accounts receivable entries. Issues receipts for non-summer camp related activities, ensuring Child Tax credit criteria are met.
- May follow up on outstanding payments/accounts receivable.
- Reconciles own monthly visa statement, and reminds other members of the departments to complete theirs by the prescribed deadline, and reviews reconciled statements to ensure appropriate account codes have been used. Provides assistance to others as needed.
- Monitors fees charged for credit and debit card transactions, and prepares internal transfer paperwork to charge back certain fees to the appropriate department code.
- Prepares internal transfer paperwork, payment vouchers, etc. for authorization.
- Reviews all accounts and initiates paperwork for fiscal year-end transactions based on past practice to meet deadlines.
- Prepares year-end inventory accruals for retail operations within Athletics/Athletic Facilities.
- Prepares purchase requisitions for the acquisition of goods and services.
- Maintains a petty cash fund, submits receipts for reimbursement.
- Maintains financial records and forms.
- Organizes and maintains e-files for accounting transactions.
- Prepares reports to external governing bodies within prescribed deadlines to avoid potential financial penalties or withdrawal of funding.
- Maintains inventory of office supplies.
- Assists with special events.
- Provides back up for other Assistant to the Directors within Athletics.

**Qualifications**:

- Minimum of high school completion with office skills training.
- Some accounting training desirable.
- Four years of directly related office experience is required, preferably with some experience in accounting.
- Good working knowledge of MS Office software, specifically Word and Excel
- Effective oral and written communication skills
- Ability to follow oral and written instructions, policies, procedures, and regulations
- Ability to complete work with accuracy and attention to detail.
- Good organizational skills and ability to prioritize tasks effectively and efficiently in order to meet deadlines.
- Working knowledge of University policies and procedures is desirable.

**Condition(s) of Employment**:

- Must be legally entitled to work in Canada.
- Occasional evening and weekend hours as well as overtime at key times of the year may be required.

**The salary range for this position will be from $42,387.80 to $58,513.00 annually.**
