- Ensure inventory balance between Marsha and Opera (used systems)
- Avoid overbooking in room categories
- Ensure no rooms are blocked for sale
- Communicate with the revenue team to correct the strategy and/or adjust available inventory for sale
- Coordinate tour groups
- Be the main contact with travel agencies/wholesalers to coordinate stays
- Retrieve room lists within deadlines
- Gather all necessary information to prepare for the group's arrival
- Prepare purchase orders for restaurant meals
- Communicate group details to other departments
- Coordinate payment or deposit collection
- Approve billing
- Grant Bonvoy Event points
- Ensure all messages are responded to within a reasonable timeframe
- Prepare weekly forecasts for club lounge traffic
- Send the kitchen team the expected number of clients to be served per shift for adequate food quantity
- Supervise reservation agents
- Ensure task priorities are respected
- Ensure there are always tasks to be performed
- Assist in tasks as needed
- Serve as a reference for questions/uncertainties
- Assist reception supervisors in their tasks
- Help supervisors with their tasks as needed
- Respond to customer satisfaction surveys (Guestvoice)
- Coordinate airline reservations
- Ensure room blocks are created
- Communicate with airlines for last-minute changes
- Receive schedules for each month/period and ensure reservations are made
- Billing and departure time
- Process certain individual reservation requests (exceptions)
- Reservations paid by purchase order
- Follow up on room block management
- Attend weekly room block update meetings
- Send reminders about room list submission deadlines
- Ensure no overbooking in double bed rooms
- Attend revenue strategy meetings
- Take action on discussed topics
- Monitor room sales performance
- Monitor proposed rates when nearing full occupancy
- Take on projects assigned by the reception director
- Reminders and communication of procedures
- Implementation of new procedures
- Any other related tasks
