**Summary**
The Executive/Personal Assistant will provide high-level administrative and personal support exclusively to the CEO. This role requires exceptional organizational skills, discretion, and the ability to multitask in a fast-paced environment. You will be a trusted partner, ensuring the smooth operation of both professional and personal schedules.
**Key Responsibilities**
**Executive Support**:
- Manage and maintain the CEO's schedule, including meetings, appointments, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and reports.
- Coordinate communication between the CEO and internal/external stakeholders.
- Assist with project management and tracking deliverables.
**Personal Support**:
- Handle personal errands and tasks for the CEO as needed.
- Coordinate household management activities, such as maintenance, vendors, or appointments.
- Organize personal events, including travel plans and family scheduling.
**Administrative Duties**:
- Manage confidential information with discretion and professionalism.
- Maintain an organized filing system for both physical and digital documents.
- Assist with budget tracking, expense reports, and invoice processing.
- Research and source information or services as required.
**Qualifications**:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills in both English and French.
- Ability to anticipate needs and act proactively.
- High level of discretion and confidentiality.
**Preferred Skills**:
- Experience in Group insurance industry.
- Familiarity with project management tools and software.
- Multilingual capabilities beyond the required languages are a plus.
