**The Opportunity**:
We are seeking a proactive and detail-oriented Administrative Assistant to support the smooth operation of our office. This role is ideal for someone who enjoys variety in their workday and excels at multitasking. You’ll be the first point of contact for visitors and callers, while also supporting multiple departments with administrative and coordination tasks.
**What You’ll be Doing**:
**Reception & Front Desk**:
- Greet guests and visitors warmly, announce their arrival, and direct them to the appropriate person or office.
- Maintain a tidy and welcoming reception area.
- Receive, sort, and distribute daily mail and deliveries.
**Marketing Team Support**:
- Assist with coordination of digital and print marketing materials
- Monitor and respond to social media inquiries
- Help manage online property listings.
**Leasing Team Support**:
- Respond to general and property-specific inquiries
- Coordinate and assemble resident welcome and retention packages
**People & Culture Team Support**:
- Prepare new hire welcome packages.
- Ensure workstations are set up with necessary equipment and supplies prior to start date.
**Meeting & Event Coordination**:
- Prepare meeting rooms for internal and external meetings or training sessions
- Order food and refreshments, as required
- Ensure meeting spaces are cleaned and reset after
**Inventory Management**
- Order and maintain office supplies and marketing merchandise
- Support inventory tracking using our online system (Hilti), in collaboration with the Construction and Property Management teams.
**General Administrative Support**:
- Assist with various administrative tasks, including data entry, filing, and document preparation.
- Maintain cleanliness and organization of common office areas, ensuring they are well-stocked with necessary supplies; perform monthly refrigerator cleanouts.
- Provide ad hoc support to various departments as needed.
**What You Bring to the Team**:
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- 1-2 years of administrative experience in a professional setting
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Teams, Word, Outlook)
- Strong organizational and multitasking skills.
- Professional demeanour and attention to detail.
- Excellent written and verbal communication skills
- Ability to work collaboratively in a team environment
- Experience in construction or real estate development is an asset
