Danby is looking for a competent and experienced Executive Assistant (EA) to support our very busy CEO, Jim Estill. Reporting to the CEO, the EA is responsible for all duties relating to planning and organizing the CEO’s corporate, philanthropic, board and project schedules, and providing all administrative assistance to support the CEO. Various administrative and organizational tasks can include: making travel arrangements, preparing reports, coordinating meetings, and liaising with internal and external stakeholders. The EA is a self-motivated individual who prides themselves on being/becoming the “Best EA Ever”. Possessing the ability to multitask and perform all duties with mínimal supervision and is responsible for proactively assessing the needs of the CEO and executing their responsibilities in a professional manner is a must-have.

The EA executes the responsibilities of this position with the strictest of confidentiality.

**Key Responsibilities**:

- Provides administrative support to the CEO.
- Manages the CEO's calendar and scheduling appointments
- Making travel arrangements and coordinating logistics for business trips
- Preparing reports, presentations, and correspondence on behalf of the CEO
- Assisting with various charity events and efforts
- Manages meeting logistics (meeting venues and space, meals and refreshments, team building activities, off site dining) for meetings organized by the CEO
- Liaising with internal and external stakeholders, including senior management, clients, and partners
- Sets up and attends meetings and assumes responsibility for in-person or virtual meetings which includes agenda preparation and minute-taking
- Conducting research and gathering information as required
- Performing various administrative tasks such as filing, organizing documents, and maintaining records
- Providing ad-hoc support to the CEO as required.

**Qualifications**:

- Post secondary degree or diploma
- Minimum 5 years of experience in a similar role supporting a senior executive
- Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously
- Excellent verbal and written communication skills, including the ability to draft professional correspondence
- Exceptional attention to detail and accuracy
- Proficiency in Microsoft Office Suite and Google Search Engine
- Strong problem-solving skills with the ability to anticipate and address issues proactively
- Ability to maintain confidentiality and exercise discretion
- Ability to work independently, comfortable with changing priorities and able to work effectively and efficiently under pressure.
- Must be able to work minimum 2 days in the Guelph, ON head office, flexibility is required in this role

**Salary**: $50,000.00-$55,000.00 per year
