**Position Purpose**:
Assist the Group Housing and Sales Coordinator with Group reservations, submitting group commissions, creating opportunities and providing quotes, preparing contracts, proposals, assisting with site inspections, with designing, preparing group reports and other duties as assigned by the manager or their representative. Ensure that office procedures and duties are carried out (which includes but not limited to assigning leads, answering telephone inquiries, creating purchase orders and organizing mail). Responsible for all reservation services (greeting guests, answering phones and inquires) while providing the highest level of service possible in an efficient, courteous and professional manner through meaningful guest interactions and innovative program standards while adhering to guidelines and procedures.

**The responsibilities of this position include**:

- Provide administrative support to the Group Hosing, Sales Coordinator, Sales Managers and Director of Sales and Marketing.
- Prepare sales and group housing related documents throughout the sales process (e.g. proposals, contracts, site notices).
- Respond to inquiries from clients/prospective clients in the absence of the Group Housing Coordinator or the salesperson(s).
- Promote awareness of brand image internally and externally.
- Gather materials and assemble information packages (e.g., brochures, promotional materials).
- Use sales techniques that maximize revenue while maintaining existing guest loyalty to the brand.
- Coordinate with other departments within the hotel for distribution of important sales information.
- Prepare and disseminate month-end reports and weekly sales and group housing activity reports.
- Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in software involved in the sales process.
- Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events).
- Act as lead catcher for opportunities, build quotes and assign to the appropriate sales manager.
- Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets.
- Conduct client site inspections as needed.
- Develop and maintain positive working relationships with others; support team to reach common goals
- Process all reservation requests, changes, and cancellations received by phone, electronic mail or other sources. Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate.
- Explain guarantee, special rate, and cancellation policies to callers.
- Accommodate and document special requests and respond to any challenges found for accommodating rooming requests by communicating with appropriate individuals or departments
- Oversee accuracy of room blocks and reservations.
- Answer questions about property facilities/services and room accommodations
- Follow sales techniques to maximize revenue.
- Communicate information regarding designated VIP reservations.
- Input and access data in reservation system.
- Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms and keep organized files of all groups.
- Set-up proper billing accounts according to accounting policies.
- Preform other reasonable job duties as assigned.
- High School or College Diploma
- Warm and effective communications skills (in English language) both oral and written
- 2 years Sales and Reservations experience
- Must possess strong computer skills
- Must be proficient in Excel and Microsoft Word
- Must be able to maintain confidentiality of proprietary information
- Two years of hotel experience with at least one year in administration.
- Past sales experience an asset.
- Ability to stand, sit, or walk for an extended period.
- CITY preferred
- Lightspeed/Marsha/Galaxy preferred
- Knowledge of GXP an asset
- Well-developed organizational skills with ability to multi-task in a fast-paced environment
- Will be available to work variable shifts which would include weekends and holidays

**Job Types**: Full-time, Permanent
