OVERVIEW
Under the Authority and General Direction of the Chief and Council and the satellite manager of the Sandy Lake Band Representative Program, the Receptionist will receive and greet all individuals entering the Mamow Weechiwaywin Office in Winnipeg and direct them to the appropriate resource or staff members.
DUTIES & RESPONSIBILITIES
- Receive all phone calls and direct them to the appropriate staff.
- Open the doors at 9:00 am and close all the doors by 4:30pm.
- Greet clients as they enter the building and assist them in finding the appropriate staff member
- Take detailed notes down if the staff member is unavailable.
- Take in detailed intake notes and forms.
- Preparing meeting rooms, ensure that they are clean and ready for meetings
- Manage the booking for the Conference Room.
- Assist with Calendar invites, Zoom calls and teleconferences when needed.
- Assisting with Records/File Management: Photocopying, receiving faxes, scanning documents, printing, organizing records and memos
- Keep an inventory of office supplies
- Place orders as needed in consultation with the Band Rep Staff Team and management.
- Keep and maintain an updated calendar of events
- Act as a Case Conference Coordinator via zoom & Outlook and record and file detailed notes into the program database.
- Assist with our database migration for our client Case notes, from Secure SharePoint Database to our new Apricot Database.
- Update the SLFN Band Rep Site with relevant information as needed.
- Create and maintain good working relations with all delivery partners, fellow employees, and the Chief and Council
- Always maintain confidentiality.
- Other Duties as assigned by Chief and Council and your immediate Supervisors.
QUALIFICATIONS
- Minimum three (1) years' experience working in an administration capacity
- Knowledge and understanding of the traditional teachings of Sandy Lake First Nation.
- Excellent time management and strong organization skills; a multi-tasker
- Proven ability to maintain confidentiality
- Excellent computer skills for reporting and presentation purposes, and general office equipment knowledge
- Current Criminal Reference Check
- Ability to work effectively under pressure and in stressful situations
- Strong written, verbal skills
- Positive Attitude
- Greets Clients in a friendly and warm manner
- Knowledge in Sandy Lake local Dialect
Pay: $24.00-$28.84 per hour
