OVERVIEW
Under the authority and general direction of the Sandy Lake First Nation Chief and Council, and the direct supervision of the Winnipeg Band Rep Case Manager, and in conjunction with Mamow Weechiwaywin, the Administrative Clerk assists in the regular functioning of the finance department specifically for Mamow Weechiwaywin Program.
IMMEDIATE SUPERVISOR: Social Services Director, Assist Social Services and Band Rep Case Manager
SALARY GRID: 60,000 - 70,000
DUTIES AND RESPONSIBILITIES :
- Process accounts payable for the Mamow Weechiwaywin Program ensuring that all requirements are met for the annual financial audit;
- Process accounts referred to Mamow Weechiwaywin and determine proper accounting and distribution;
- Manage employee requests for advances, ensure that all employees receiving advances are keeping an up-to-date ledger of expenditures and receipts on QuickBooks prior to releasing additional funds.
- Alert management when employees receiving advances or requesting POs require finance capacity building.
- Maintain complete and accurate accounts of all financial transactions; both in paper format and digitally
- Monitor all program budgets, ensuring a complete and accurate account of all financial transactions and records associated with transactions.
- Provide budgetary updates (account exports) as requested to the Social Services Director, Councillor Liaison and consultants assigned by Sandy Lake to prepare financial reports and reimbursement claims for ISC.
- Ensure that all records, books of accounts, invoices, purchase orders, receipts and other documents and papers related to financial operations are safely filed and stored; both papers copy and digitally archived.
- Under the Supervision of the Finance Administrator and assigned Consultant, review all budgets, and identify line items that have been improperly coded.
- Work collaboratively to ensure the budgets are coded in the correct place one month following the end of the fiscal year.
- Attend staff training as required.
- Assist in the Preparation of ISC funding reports.
- Perform other related duties as required by the supervisor, and all duties assigned by the Chief and Council.
KNOWLEDGE AND SKILLS
- Grade 12 diploma or equivalent experience in bookkeeping or accounting.
- Oral and written literacy in Oji-Cree an asset;
- Strong English oral and written communication skills; Time Management skills.
- Computer skills focussed on spread sheets and data base development and maintenance;
- QuickBooks experience is an asset.
