**Hospice Georgian Triangle** is a non-profit organization dedicated to providing compassionate care and support to individuals and families facing life-limiting illnesses or in their last stages of life. We provide exceptional hospice palliative care and community programming in the Town of the Blue Mountains, Collingwood, Clearview Township, and Wasaga Beach.

This newly-created entry-level role will report to the Office Manager & Board Liaison and will provide administrative support to the Office Manager & Board Liaison, and the Human Resources Lead to ensure smooth operations across the organization.

**Key Responsibilities Include**:

- preparing invoices for accounts payable, and handle petty cash transactions.
- coordinating schedules for internal and external meetings which may include set-up of conferencing tools such as Teams or Zoom.
- updating and maintaining digital filing systems, including employee files and assisting in regular audits to ensure compliance with regulatory standards, and dispose of documents according to retention policies.
- processing and distributing incoming and outgoing mail.
- assisting in creating presentations and reports.
- assisting in the recruitment and hiring process by preparing competition files, scheduling interviews and preparing on-boarding packages.
- ensuring new hire documentation is accurate and complete for payroll and benefits processing.
- assisting in annual HR cycles such as annual salary reviews, performance evaluation tracking, and other special projects.
- Updating and maintaining tracking systems for all staff changes.
- handling office supply inventory and vendor communications.
- providing basic IT troubleshooting and liaise with technical support as needed.

**Occasional Responsibilities Include**:

- providing support to the Medical Director at our Hurontario Street Office, in the absence of the Administrative Assistant (vacation/sick absences).
- providing Reception support at Campbell House, in the absence of a volunteer Receptionist to answer phones and assist drop-in guests who wish to make a donation.
- assisting with special projects, initiatives, and events.

**Required skills & Competencies**:

- strong written, verbal and listening communication skills.
- proficient in Microsoft Office Suite.
- adaptability to new technologies and digital tools.
- strong data entry, spreadsheet management, and reporting skills.
- possesses strong organizational skills and ability to prioritize.

**Qualifications**:

- high school diploma required. Post-secondary education, or working towards a diploma/certificate in business, office administration or human resources preferred.
- minimum 1-2 years of experience in an administrative role, preferably within a not-for-profit or healthcare organization.
- experience/education in accounting, budgeting. payroll or human resources would be an asset.
