**Position Summary**:
**Job Duties & Responsibilities**:
- Assist with the confidential administration of staff and faculty appointment processes, including recruitment, onboarding, and leave processes in compliance with the Human Resource Manual, applicable legislation and policies.
- Prepare routine to complex letters and other correspondence for signature by the appropriate representative.
- Maintain records of end dates and renewal eligibility to proactively ensure that appointments are processed, renewed, modified and terminated in a timely manner.
- Work closely with the financial team for employee records, information, and documents, for pension, benefits and Records of employment.
- Engage with Managers to administer the staff probation tracking process.
- Update information and maintaining physical and electronic employee files.
- Provide direction to employees related to various business processes within HR Bamboo system and provide troubleshooting support.
- Maintain data to support effective client service measurement as required.
- Execute accurate data inputs to enable correct outputs from HR Bamboo related to employee life cycle events, from hire through termination, including personal data changes, banking or tax information, and benefit information.
- Sort and file of documentation.
- Draft recruitment posts, letters, job descriptions and update draft policies as required.
- Support the HR department in the talent acquisition and recruitment process (job postings, screening resumes and pre-screen interviews for entry-level positions)
- Create onboarding packages for new hires (onboarding information, agendas etc., reference checks and HR Downloads registration) and ensure consistency in the employee experience
- Assist with organizing and tracking learning and development
- Ordering and maintaining office and supplies, including the organization and cleanliness of storage areas.
- Manage the process of obtaining, matching, and filing credit card receipts against their respective statements, as well as gaining necessary manager approvals, all in a timely fashion.
- Assistance with government reporting and data-entry functions, as required
- Maintain a strict code of confidentiality concerning Wasauksing First Nation business activities and all related affairs including but not limited to knowledge specific to Wasauksing First Nation community members and their businesses.
- Update internal databases (e.g. record sick or maternity leave)
- Participate in HR projects (e.g. help organize a job fair event)
- Taking notes and minutes as required
- Participate in the Staff Development Committee as required
- Participate in the occupational health and safety committee as required
- Support special projects and initiatives as required,
- Provide support to HR team in all HR functions
- Adhere to all policies and procedures of Wasauksing First Nation and any other relevant policies and procedures from external agencies and partners
- Perform other duties within the scope of the position as assigned by the Manager Or Supervisor
**Education & Experience**:
- Post-Secondary Diploma or Degree in a Business-Related discipline is preferred
- A minimum of 2 years HR operational experience with knowledge of general HR practices, legislation and HR technology, including HRMS systems, is preferred
- Experience with a number of benefit administration processes
- 2 years of experience working in administration is preferred
- Excellent interpersonal and communication skills to provide excellent client service to both internal and external stakeholders
- Ability to speak, read and understand Anishnaabemowin (Ojibway Language) is an asset
**Other Requirements**:
- Able to demonstrate strong attention to detail, problem solving and organizational skills
- Must be able to demonstrate knowledge of applicable current Employment Legislation including the Employment Standards Act
- A team player with the ability to multi-task and prioritize work independently, at times with conflicting priorities
- Experience working with HR systems - experience working with iCIMS and Workday an asset
- Proficient in Microsoft Office Applications; Word, Excel, PowerPoint, Outlook
- Must be a team player who thrives in a busy environment, while upholding strong business and work ethics
- Benefit administration experience is an asset.
- Experience with Canva is considered an asset.
- Valid Driver's License and reliable personal vehicle
- Willing to work flexible hours as required, including evenings and weekends
- This position requires the individual to work with various families, youth and children. To protect children, youth and vulnerable persons, Wasauksing First Nation requires the individual to provide a vulnerable sector. Or criminal record check
