**Position Information**:
This position will focus on providing administrative support to the Oxford and Area Ontario Health Team (OHT). This position will assist in coordinating all Action Teams, Coordinating Committee, and Steering Committee in helping to accomplish established goals and objectives. They will take minutes, provide updates and issue communications, monitor Ministry of Health correspondence, timelines, deliverables and deadlines, monitor Centralized Program of Supports correspondence and deliverables, participating in appropriate communities of practice and learning webinars.
**RESPONSIBILITIES**:
- Perform executive assistant functions for all Action Teams, Coordinating Committee, and Steering Committee, in support of Action Team Leads, Coordinating Committee Chair/Co-Chair, Steering Committee Chair/Co-Chair, Implementation Coordinator, and Executive Lead
- Administrative functions including, but not limited to, minute taking, communications, scheduling meetings (in-person and virtual), data entry, photocopying, etc.
- Assist the Oxford and Area OHT with coordinating and delivering on multiple projects, initiatives, and deliverables
- Function across sectors and work with interdisciplinary teams
- Organize community and stakeholder meetings, including taking minutes
- Provide significant support to all OHT related communications and digital platforms (ie. website, social media, Microsoft Teams site, Decision Support dashboard)
- Communicate program goals, objectives and updates to a wide range of stakeholders
- Protect confidentiality on sensitive issues.
- Maintain stakeholder registry.
- Participate in virtual meetings (eventually travel to and attend local off-site meetings, pending the pandemic restrictions)
**KEY COMPETENCIES**:
- Exceptional organizational skills with the ability provide administrative support to multiple projects and stakeholders while constantly adjusting priorities
- Demonstrated excellence in interpersonal, written and verbal communication skills including, ability to demonstrate tact and diplomacy with diverse groups of stakeholders, including patients, front-line healthcare providers, community agencies, and healthcare administrators
- Attention to detail and high level of accuracy
- Very effective organization skills, effective verbal and written communications skills, tactfulness and diplomacy skills
- Time management skills
- Maintain a high degree of confidentiality
- Excellent computer/technology skills, specifically proficient in Microsoft Office suite, i.e. Word, Excel, Access, PowerPoint, etc, and running virtual meetings (i.e. WebEx) and using online collaborative sharing platforms (i.e. Microsoft Teams)
- Must have and provide proof of full COVID-19 immunization.
**QUALIFICATIONS AND EXPERIENCE**:
**Education**:
- Graduate of approved post-secondary Office Assistant/Executive Assistant/Project Coordinator program an asset.
**Experience**:
- 3-5 years of administrative experience.
- Experience working in healthcare and interdisciplinary teams an asset
