The Communications Specialist is primarily responsible for engaging internal and external stakeholders through the collaborative development and implementation of the WSPS Communications Strategy. The Communications Specialist supports the achievement of organizational goals by ensuring employees and other stakeholders consistently receive new and/or updated information according to service expectation standards, through a multi-channel approach. The communications Specialist will also lead the employer brand communications strategy, in support of recruitment initiatives, and the onboarding and engagement of WSPS staff members.
What you will do in this role:
**Strategic Communication (20%)**
- Collaborates on the development and execution of the communications strategy, in alignment with WSPS’ organizational strategy and in conformance to ISO 9001 requirements
- Researches, writes, and edits content to grow the understanding of system priorities, explain executive decisions and strategic directions, and engage stakeholders
- As assigned, partners with various business units to develop communication strategies and plans that support organizational initiatives, change management activities, and employee engagement goals
- Participates on select internal committees and project teams to provide communications guidance and support in the execution of staff communication plans and change management initiatives
- Increases understanding of and commitment to organizational vision and objectives
- Develops communication plans in support of WSPS business projects, as assigned - applies project management practices and tools
- Collaborates with other WSPS departments to align messaging
**Content Creation (40%)**
- Works with stakeholders to identify clear, consistent, and compelling messages
- Site owner of intranet homepage, ensuring efficient access to information necessary for successful customer interactions, understanding of internal initiatives and overall employee engagement and satisfaction
- Leads development and production of large organizational meetings and events, such as internal webinars, information sessions and events
- In collaboration with Volunteer Program colleagues, oversees communications to WSPS volunteers
**Employer Brand Communications (20%)**
- Partners with WSPS’s People & Culture and Marketing teams to shape and articulate WSPS’ unique employer brand
- Develops, leads, and implements communications strategy that supports the “employee journey” - from recruitment to onboarding to ongoing engagement at WSPS - projects include diversity and inclusion initiatives, new recognition programs, and other people-related activities
**Ownership of Internal Communication Processes and Channels (10%)**
- Owns and regularly updates the Internal Communications Process
- Partners with Information Technology team to ensure intranet meets organizational needs - updates assigned pages with engaging/critical content and coaches/onboards staff members on intranet usage and best practices
- Provides input into communications planning, matching needs with the best tools available - improves quality of organizational communications through the development, rollout, and oversight of tools
**Coaching (10%)**
- Upholds and models communications best practices, and usage of brand standards and corporate/internal communication style guidelines - also acts as an early adopter of new tools
- Facilitates continuous learning through the provision of professional development opportunities, as well as through one-on-one communications coaching to WSPS employees (both pre-planned and as opportunities arise)
- Provides onboarding to new hires - introducing them to communication roles, intranet, available supports and best practices
**Contributes to a healthy and safe work environment (at all times)**
- Adheres to WSPS policies, procedures, process fact sheets, guidelines and business rules established in the WSPS Quality Management system which ensures the achievement of our quality goals
- Contributes to promoting a healthy and safe culture, and links efforts to the WSPS quality management system approach (Plan, Do, Check, Act, Continuous Improvement Cycle)
- Acts as a role model internally and externally by demonstrating knowledge of health and safety and wellness practises.
**EDUCATION & EXPERIENCE**:
- Diploma or degree in Communications or a related discipline
- 3-5 years of related experience
- Ability to work in a fast-paced, deadline-driven environment
- Exceptional written and oral communication skills
