This position is eligible for our Hybrid Work Program.** **Posting ID**: 4163 **Department**: Health **Division**: Immunization Services **Pay Range**: $57,685 - $72,107 **Job Type**: Temporary < 1 year **Contract Duration**: Up to 12 months **Hours of Work**: 35 hours per week **Work Location**: 1151 Bronte Road, Oakville **Employee Group**: OCT **Posting Date**:April 24, 2025 **Application Deadline**: May 4, 2025 **_Please be advised that the results of this competition may be used to fill subsequent vacancies of the same position within the next 18 months._** **Job Summary** Reporting to the Public Health Pharmacist, the Pharmacy Program Assistant provides administrative support to the pharmacy team. **Duties & Responsibilities** - Supports the distribution process of publicly funded vaccines by placing vaccine orders to OGPMSS, preparing weekly manifests for vaccine delivery, populating vaccine distribution lists, processing returns of wasted/expired vaccines, etc. - Upholds strong customer service standards by responding to inquiries about vaccine distribution in a courteous and timely manner. - Maintains program files and records - filing, retrieving and archiving files for storage in accordance with the departmental/corporate record retention schedule. - Maintains inventory for stationery, office supplies and cold chain equipment, placing orders to restock materials, equipment and supplies as needed. - Manages distribution of cold chain equipment to external partners and ensures that customer invoicing is initiated where required. - Provides administrative support by creating and maintaining staff schedules, tracking program IT equipment, printing materials, labels and forms, etc. - Assists with the organization of team events and meetings and taking meeting minutes as required. - Functions as a member of a multi-disciplinary team and provides backup to other members of the administrative support group within the Immunization Services Division. - Performs other duties as assigned. **Skills & Qualifications** **Essential** - Secondary School Graduation Diploma. - Minimum two (2) years of office/administrative experience. - Ability to enter large amounts of data with superior accuracy skills and attention to detail. - Experience with preparation of correspondence, phone/reception duties and file maintenance. - Ability to work in a team environment with excellent customer service skills, problem solving skills and organizational skills. - Excellent written and oral communication skills. - Demonstrated ability to learn a variety of software programs. **Preferred** - Diploma in office administration with additional training in office/business software. - Experience with Siebel, SAP or Panorama. - Experience providing administrative support in a health care or public health setting.
