Join our team at Monarch MD in West Vancouver, where you'll work alongside Double Board Certified Facial Plastic Surgeon Dr. Eli Akbari and her team of aestheticians and nurses. Our goal is to provide exceptional service to our patients, and your role is a crucial part of that.
- **Role summary**_
The front desk receptionist is the first and last contact for every client. Your main job is to deliver excellent client service while driving bookings. You turn calls, forms, and messages into booked consultations. You protect the schedule, support the team, and keep the front of house running clean and on time. This is a sales heavy front desk role that focuses on filling the schedule and growing the clinic.

- **What you will do**:_

**Client experience**
- Greet every client by name with confidence and warmth.
- Keep the waiting area neat and ready for clients.
- Check clients in and out and keep them informed of wait times.
- Explain treatments at a high level without giving medical advice.
- Handle complaints with patience and bring in a manager when needed.

**Sales and booking**
- Own the phone and answer fast.
- Return missed calls as soon as possible.
- Turn calls and online leads into booked consultations.
- Follow booking scripts and make them sound natural.
- Ask questions that help match clients with the right consultation.
- Fill the schedule based on provider templates.
- Confirm appointments and manage deposits.
- Rebook clients before they leave when appropriate.
- Follow up on leads, no shows, and clients due for maintenance.
- Track daily and weekly numbers for calls and bookings.

**Front desk operations**
- Open and close the front desk with a clear checklist.
- Review the schedule each morning and flag any gaps.
- Check digital forms and consents for completeness.
- Take payments, deposits, and membership or package payments.
- Prepare charts or digital profiles before appointments.
- Keep shelves, brochures, and signage tidy.
- Support photos and follow up messages when needed.
- Protect client privacy at all times.

**What success looks like**
- The phone is answered fast and callers feel guided and booked.
- Most new leads turn into consultations.
- The schedule stays full and accurate with few last minute gaps.
- Clients describe the front desk as warm and professional.
- Providers can focus on treatments because the front runs smoothly.

**Required**
- Experience in a front desk, sales, or customer service role with high call volume.
- Comfort selling services or consultations.
- Strong phone presence and clear communication.
- Fast and accurate data entry.
- Comfort with POS systems and booking tools.
- Ability to stay calm with anxious or upset clients.
- Reliable and on time and able to follow structure and scripts.

**Preferred**
- Experience in a medical aesthetic or beauty setting.
- Experience with memberships or package models.
- Experience using your clinic’s booking or charting software.

Pay: $23.00-$30.00 per hour
