**Overview**
The Administrative and Training Support role provides essential support to the Training Department by addressing the needs of instructors, clients, and colleagues. This role involves a range of administrative, logístical, and communication tasks to ensure the smooth delivery of St. John Ambulance training programs. The incumbent will also assist with the setup and facilitation of courses, maintain departmental records, and support departmental growth initiatives. A strong commitment to excellence in client and instructor service, along with becoming an SJA trained instructor will be keys to success in this position.
**Responsibilities**
**Administrative and Client Support**
- Respond to instructor and client inquiries in a timely and effective manner.
- Perform data entry and other administrative tasks to support departmental operations.
- Write routine documents and correspondence.
- Handle sensitive or confidential information, ensuring accuracy and completeness of records.
**Course Setup and Logistics**
- Assist in the setting up and delivery of courses and programs across NS and PEI.
- Book training locations and arrange accommodation as required.
- Source new training locations and instructors in NS/PEI.
**Instructor and Departmental Support**
- Support departmental growth by building positive connections with instructors.
- Participate in departmental projects as assigned by the DoL.
- Assist instructors and colleagues in ensuring a positive and welcoming environment for all participants.
- Teach SJA courses as assigned.
**Program Development Support**
- Support the department in adapting to new regulations and programs when required.
- Organize and maintain materials for Instructor Development and Recertification programs.
**Additional Tasks**
- Adapt and prioritize tasks in a busy environment with changing workflows.
- Occasionally work evenings and weekends to meet departmental needs.
- Provide front desk coverage on a set weekly schedule.
**Role Requirements**
**Essential Requirements**
- Post-secondary education or equivalent combination of education and experience.
- Ability to work independently and collaboratively within the department and with other SJA colleagues.
- Demonstrated ability to create a welcoming and inclusive environment for instructors and clients.
- Strong written and verbal communication skills.
- Valid driver’s license and willingness to travel to training sites within NS and PEI.
- Communication Skills: Strong written, verbal and digital communication skills are essential for this role.
- Attention to Detail: Accuracy in data entry and record-keeping is crucial to ensure the integrity of departmental operations.
- Tech-Savvy: Proficiency in Microsoft Office Suite and database management systems. Familiarity with CRM software is a plus.
- Interpersonal Skills: Ability to work collaboratively in a team environment and build positive relationships with instructors, community and team members.
**Preferred Assets**
- Teaching or instructional experience.
- Research and data management experience.
