**Description of the Role** This role is responsible for providing comprehensive corporate and various personal support to the Executive Team (4 people). **General Responsibilities** - Provide sophisticated calendar management. Prioritize inquiries and requests while trouble shooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements. This includes scheduling of travel, appointments and making changes to appointments and after-hours events for the Executive Team. - Work closely with Executive Team to keep them well informed of commitments and responsibilities and following up where appropriate. - "Gatekeeper” role in maintaining personal information and access to the Team. - Serve a primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team, including those of a highly confidential and critical nature. Prioritize and determine appropriate course of action, referral, or response in accordance with the Executive Team's style and organization standard operating protocols. - Screen and direct calls appropriately - Reading and analyzing letters, agendas, memos and determining significance; routing to appropriate personnel in a timely manner. - Maintain supplies required by the Executives, anticipate any specific needs. - Handling of confidential information with discretion. - Provide full personal assistant support as needed. - Collaborate with various legal firms, consultants, partners, team members, financial institutions and accounting in the execution of contracts, cheques, legal documents, acquisitions, general correspondence, etc. - Maintain an organized corporate filing system of paper and electronic documents for the Company, both for personal and professional purposes. - General office administration, including reception duties and ensuring the office is fully stocked and always ready to host meetings. **Key Attributes** - Exceptional attention to detail. - Stellar communication and interpersonal skills. - Outstanding time management and organizational skills. - Exceptional written and verbal communication skills which will be required to maintain and establish lasting relationships with the Executeive Team's wide-ranging global network. - Impeccable time management skills. - A proactive approach to problem solving. - Proven ability in dealing with complex, sensitive and confidential matters. - Must be self-motivated and take initiative. **Preferred Skills** - Very strong MS Office suite skills required. - Intermediate to advanced Excel skills. - Advanced Word and Outlook skills. - Adobe Acrobat and other.pdf programs. **Qualifications and Education** - Post-secondary education AND experience supporting an Executive Team.
