Sales Coordinator

**Job Title**: Sales Coordinator (Japanese & English Speaking)
**Reports to**: Senior Sales Manager
**Position Overview**:
This bi-lingual position (Japanese and English Speaking) will report to the Senior Sales Manager, with a dotted reporting line to the Education Sales Manager at the Yonge & Eglinton location. This position will be focused on Japan and other business development territories as appointed by Vice President, Business Development and Strategic Sourcing
**Major Responsibilities**:
- **Sales Support**
Sales Support: Assist sales managers with market research, leads generation and initial qualification before passing pre-qualified leads to sales managers.
- **Hosting coordination and customer service in appointed territories**
Ø **_Before Education Hosting_**
- **Documents Preparation**: Hosting Agreements, IT Agreements
- **Order Creation in EMS**
- **Updating Tracker** and ensure most up-to-date info
- **Invoicing**: Deposits, final payments, exams, makeups, privates
- **Instructor Trainers**: Plan and execute the securing of Instructor Trainer(s)
- **Send workshop notes** to Host Sites upon receiving final payments
- **Send required Paperwork** to Host Sites prior to Hosting begins
- **Travel Arrangements**:
a) Book flights;
b) Coordinate with sites about ground travel, hotel arrangements, travel within Japan, etc.;
d) Connect ITs with Host Sites by setting up group chats;
e) Calculate expense sharing when ITs travel to multiple Host Sites in one trip;
f) Invoice **IT Expense** to Host Sites prior to IT departure;
g) Prepare **IT Brief** prior to IT departure
- **Follow up payments weekly**: Deposits, final payments, IT Expenses, exams, makeups, privates
Ø **_During Hosting: _**
- Provide assistance to ITs during their stay hosting territories
- Provide ongoing assistance to Host Sites as required
Ø **_After Hosting: _**
- **Exams/Makeups/Privates**: Collecting post documentation and submitting to programming; coordinate and follow up with Programming on exam results
- **Paperwork**: Collect hosting Paperwork; follow up missing documents; enter into EMS and issue Completion Letters
- **IT Invoice**: Collect, annotate, and submit to Accounting
**Skills and Qualifications**:
- Japanese and English (**bi-lingual is a must)**, other Asian languages (such as Korean) would be a plus;
- Experience with the Japanese market, esp. fitness and wellness market are preferred
- University graduate with minimum 2+ years of sales administrative support in a professional sales or customer service setting;
- Detail oriented fast learner and team player, must be comfortable to thrive in a fast-paced multi-task environment;
- Highly proficient with Microsoft office suite. Experience with customer record and sales management tools like SAP, SAS, Salesforce would be preferred
