Sierra’s heavy civil division has the equipment, trained operators and expertise to complete a wide array of projects including subdivision servicing, building services and sitework packages, municipal water systems, wastewater treatment plans, sewer and watermain, roads, golf courses, retention ponds, erosion control, earthmoving and demolition_
Due to an influx of projects, our Infrastructure division is currently seeking to add an experienced Project Coordinator to their team. Reporting to the Division Manager and Project Manager, this position is accountable for working as part of a team providing overall construction and administrative support to the PM and Superintendent while ensuring efficiency in all areas including client satisfaction.
**Duties and Responsibilities**:
- Assist the Project Manager and Superintendent, where applicable, in the day-to-day duties of a project’s administration.
- Preparing Payment Certificates and Invoices.
- Obtain tender documents, file in estimating folder, update estimate tracking sheet and print drawings. Review prospective bids with Division Manager
- Perform quantity takeoffs for the tender as required.
- Communicate with potential subtrades and suppliers and send RFQs
- Working closely under the guidance and direction of Project Managers and Superintendents, and Estimators.
- Learn Sierra’s systems and methods.
- Process contract documents in accordance with the drawings and specifications and ensure that the work is built in accordance with these documents.
- Comparing the contract drawings to the tender drawings and identifying conflicts.
- Assist in plan and specification analysis in order to provide clear, trackable and coordinated interpretations of the issued for construction drawings.
- Research and recommend solutions to design document problems, including conflicts, interferences and errors/omissions.
- Prepare and maintain accurate and up-to-date logs (RFI, Submittals, Shop Drawings, Vendor/Subcontractor Awards, Contact List, etc.)
- Track responses and advise the Project Manager and Superintendent of the status of RFIs.
- Review shop drawings/samples/submittals received from subcontractors and forward to architect /consultant for approval.
- Process changes received from the Client and/or Architect including contacting the subcontractor for pricing and checking subcontractor’s quotations to ensure that they are complete.
- Manage project documentation to ensure that all relative project information is captured and transferred to the digital project database.
- Assist with subcontracts documentation ensuring copies are given to accounting for job costing.
- Track contract execution and associated documentation in association with payment procedures. No Payment until an executed PO or contract, Insurance Certificate, Proof of Bonding (if required), Current Health and Safety Policy, Form 1000 and Current WSIB Coverage have been received
- Provide assistance during the tendering process by means of calling for tenders and pricing as directed.
- Instill a positive working relationship with the Owner and Architect to ensure repeat business.
- Present oneself as promotable, innovative, creative, and a self-starter.
- Attend project meetings, bi-weekly or monthly as requested or required. Take notes and type minutes from these meetings as required. Distribute minutes of meetings among all project stakeholders.
- Co-ordinate, manage and communicate with all subcontractors and effectively deal with problems such as delivery and schedule.
- Act as liaison with subcontractors in expediting drawings and related information.
- Monitor field work, including contract work, to ensure compliance with company standards, procedures, specifications and codes.
- Coordinate periodic job-related photographs for records. Photographs are to be categorized and logged.
- Assist with the research and preparation of field change requests to resolve design issues. Conduct quality control activities in accordance with instructions, inspection programs, using specified control measuring and testing equipment.
- Prepare drawings and sketches to support construction work as required.
- Coordinate submittals and procure all close-out documents including warranties and Operating and Maintenance Manuals.
