The Role
This position is responsible to perform used equipment service coordination and shop oversight across our eight servicing branches.
- Delegate responsibilities and direct technicians, collaborating with the Mississauga service team; all functions and activities related to the servicing, and repair of Used Equipment.
- Review and approve all service quotes prior to assignment.
- Provide daily updates to Service Team and Used Equipment Management as needed to prioritize jobs in accordance with customer requirements and anticipated delivery schedule.
- Review quotes for all assigned jobs (parts and labor) and approve.
- Track ‘Live Jobs’ vs ‘Initial Quotes’ to monitor and correct any cost over runs.
- Review work to ensure accuracy, completeness and compliance with established standards and procedures.
- Ensure the equipment is entered into the system correctly for all transactions (both purchase and sale). Maintain and manage inventory status for all Used Equipment Assets.
- Set up and track attachments such as battery and charger inventory. Relieve, reassign and revalue as needed.
- Take photos of available inventory and upload images to image directory.
- Ensure that all shop work is captured properly and recorded in database.
- Ensure all outstanding WIP (Work in Progress) is closed off in a timely manner.
- Ensure trucks are prepared and moved through the shop as needed to meet customer delivery schedule.
- Coordinate with Traffic Department to ensure delivery of finished product.
- Prepare weekly reports for Management to give projections of units shipped and invoicing projections.
- Invoice used equipment sales in a timely manner.
- Work with the Credit Department to ensure the invoicing for sale is completed.
- When a used truck is purchased from a vendor make sure that the details of the sale are properly captured and work with Account Payment to assist in Vendor payment master set up as required.
- Issue purchase order numbers for equipment.
- Take calls from sales group and customers to provide delivery / reconditioning status updates.
- Complete all training as required.
- Perform other duties as assigned.
Education and Qualifications
- Post-secondary diploma
- Proficient with Microsoft Office Suite
- Solid communication skills both written and verbal
- Strong customer service skills
- Knowledge of administrative and clerical procedures
- Have a knowledge of basic accounting principles
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to organize, multitask, and prioritize
- The ability to communicate and interact effectively with all members of staff
- Time management skills
- Detail oriented
