Hutton Safety Group (HSG) is a health and safety management consulting firm headquartered in Calgary, AB that is doing safety differently. HSG acts as the in-house, out-of-house health and safety department for 40+ companies spanning a range of industries with operations across North America. We leverage technology to deliver effective and efficient HSE and transportation management systems that engage all levels within our clients’ organizations, ultimately fostering a culture focused on safety and data-driven decision making.
**Position Summary**:
We are a growing business and are currently expanding our team This role will work full-time with our team in our Calgary office. The team is fast-paced and what’s most important is your clarity of response, quality of execution, and ability to accommodate the changing demands and needs of our clients. To excel in this position, you will need to be flexible, calm under pressure, a strategic thinker and be able to work quickly with a high degree of focus when needed. We value overcommunication to keep our clients up-to-date and educated.
**Key Responsibilities**:
- Managing personal and shared administrative phone lines to support the ongoing client and organizational needs
- Support administratively the HSE coordinators and advisors with the execution of their work projects
- Uphold task management software (Asana) including prioritizing task lists, detailed notes and continuous updates to keep team and management up to date on task load
- Facilitating and managing new worker orientations and onboarding
- Managing subcontractor pre-qualification and preferred vendor lists
- Facilitating and managing site and project onboarding
- Updating client documentation and preparing presentations (Microsoft Word, Excel, PowerPoint)
- Managing web-based safety management system for record submissions, worker compliance, asset management, action items, etc.
- Managing web-based transportation management system for hours of service, inspections, maintenance, etc.
- Drafting client communications (monthly newsletters, toolbox talks, safety bulletins, safety meetings, etc.)
- Attending meetings to take meeting minutes, develop action plans, etc.
- Collecting and tracking client data and documentation for analysis
- Assisting with the compilation of RFP and bid package submissions
- Coordinating and booking courses, health testing, training, etc. for workers
- Managing worker certification reminders for coming due and expiring certificates
- Provide clients reporting for preventative maintenance planning and coordination
- Incident Management close out, action item tracking and follow-up
- Coordinate SECOR and COR audit activities for clients
- Review and disseminate key vendor communications to the client’s workforce
- Contribute to special projects and other duties as assigned and required
**Expectations**
- Projects are managed in Asana in a transparent and organized manner. Asana projects are updated at minimum End of Day.
- All tasks are tracked in our time management software.
- Clients have a five-star experience when interacting with you and the company.
- All interactions are screened and handled appropriately, reaching out to the Operations Manager as needed for decision-making.
**Required Qualifications & Skills**:
- 2-3 years working in an administrative role
- Previous HSE experience is considered an asset but is not a requirement
- Highly proficient with computers, utilization
