Job Title: Pensions Administrator
- Location: Kingston
- JOB PURPOSE
- Unilever UK Pensions (UUKP) provides support to both the Company and the trustee boards of each of its 3 UK and Ireland pension funds:
- Unilever UK Pension Fund
- UNIAC
- Unilever (Ireland) Superannuation Fund
- The UK’s main pension fund (UUKPF) currently has approximately 5,850 active members (employees), 27,000 deferred members (ex-employees who have yet to draw their pension) and 38,000 pensioners. Whilst the day to day administration function for all 3 member groups of the UUKPF has been outsourced to Capita, responsibility remains in-house for pensioner liaison and pensioner welfare via the Unilever Pensioners Association (UPA).
- RESPONSIBILITIES
- Admin Support for UPA
- In conjunction with other members of the team, support with the smooth running of the UPA by:
- Running reports from the pensions admin system (Hartlink) and updating individual records to reflect any changes in status for UPA members and advising regional group committees and visitors as necessary
- Arranging / organising pensioner lunches (approx. 24 per year), including
- Preparation of mailings to pensioners and logging returns;
- Venue arrangements and co-ordination, e.g. final numbers
- Prepare final attendee lists and lunch packs;
- Provide admin support to 11 regional UPA groups as required, including but not limited to:
- Preparation of newsletters / ad hoc flyers / group mailings, liaising with the committee members of the various regional groups as and when required
- Checking of newsletters / ad hoc flyers submitted by regional groups for printing to ensure accuracy and consistency of formatting
- Forwarding of mailings / address lists to printers for their printing and despatch
- Running weekly reports to send to the mailing house for despatch of birthday vouchers
- Ordering flowers for delivery to those UPA members with special birthdays / anniversaries;
- Maintaining an up to date list of Visitor details and checking/processing expenses
- Admin Support for Trustees
- Support the logistics around and preparation for Trustee Board meetings and sub-committee meetings including, but not limited to:
- Venue hire and arrangements (including travel for Trustees)
- Collation, final preparation and uploading of Board and Committee papers to Diligent Boards
- UUKPD
- Assist with:
- Providing general admin support to the UUKPD team including travel bookings when required
- Opening and distribution of post for the department; fulfilment of stationery requests and arrangements for couriers;
- Booking meeting rooms and arrangements for visitors to site (ie notifying Reception, requesting parking); procurement of refreshments / working lunches.
- Ordering of printed stationery as / when required
- Provide other ad hoc administration / secretarial services to the department as required
