We are currently seeking to add a Project Coordinator to our team.

**Position Summary**
**Duties and Responsibilities**
The responsibilities of this role include, but are not limited to:
- General project administration tasks, including meeting preparation, document filing and scanning, travel arrangements, and expense management.
- Create comprehensive project documentation for distribution, including binders containing project plans and training manuals that facilitate effective communication.
- Conduct daily monitoring of LEMS and cost tracking on-site, ensuring financial oversight and project integrity.
- Prepare and manage daily timesheets for approval, collaborating with all stakeholders to maintain accuracy and efficiency.
- Assist in the generation and distribution of weekly, monthly, and quarterly project reports that drive informed decision-making.
- Ensure meticulous data entry into our computerized systems, emphasizing accuracy and timeliness to support project objectives.
- Provide essential project administration services related to estimates, funding requests, change orders, schedules, forecasting, and project closeout, fostering a smooth project lifecycle.
- Set up projects for invoicing, ensuring all necessary documentation is in place for timely billing.
- Prepare detailed invoice summaries for accounting, ensuring clarity and accuracy in financial reporting.
- Receive, coordinate, and process all invoices and purchase orders, guaranteeing timely and precise handling to maintain project flow.
- Facilitate the smooth flow of field paperwork by ensuring all required documents receive appropriate approvals before forwarding to the relevant department or individual.
- Generate accurate estimates for disposal and remediation projects, supporting strategic planning and resource allocation.
- Manage client communications throughout the project lifecycle, ensuring transparency and fostering strong relationships.
**Qualifications**:
- Post-secondary education in a relevant field or 3+ years of industry experience, demonstrating a solid foundation in project coordination.
- Proven ability to maintain meticulous records and craft clear, detailed reports that communicate essential information effectively.
- Exceptional multitasking skills, enabling you to manage multiple projects simultaneously while ensuring a high degree of accuracy.
- Ability to thrive under pressure, adeptly prioritizing tasks to deliver high-quality results even in fast-paced environments.
- Keen attention to detail, with the ability to identify early warning signs of potential issues, ensuring proactive problem-solving.
- Proficient in advanced Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint), leveraging technology to enhance productivity and reporting.
- Self-motivated and adaptable, with the ability to work independently without constant supervision, driven to exceed expectations.
- Experience collaborating within a team setting, demonstrating resilience and composure during intense work periods.
- Willingness to take on additional responsibilities or assist colleagues during quieter times, fostering a cooperative work environment.
- Excellent communication skills, capable of conveying information clearly and effectively to various stakeholders.
- Possession of a valid driver’s license, with the flexibility to travel occasionally for project needs.
**Physical Requirements**
This position requires long periods of sitting, data entry, and computer work for extended periods. You are responsible for working in a safe and proper manner utilizing workplace ergonomics to avoid injury to oneself and to others.

The position will be based out of the Richmond KBL office.
