In this role, you will provide strategic support to the People Ops team, new hires, and Homebase employees. **You** Ultimately, you will help to bolster an infectious office culture to shape the experience of all Homies, customers and visitors. - You are genuinely interested in building relationships and enjoy partnering cross-functionally - You are remarkably organized and have a keen eye for even the most minute details - not only are you meticulous with maintaining an office, but you take pride in everything you do - You are great at working with and managing multiple personalities and communication styles - You take initiative, follow through, and work with a sense of urgency - You are able to balance several tasks at once with little hand-holding, and can easily pivot as priorities change - You are someone who will develop new processes, optimize workflows, and make operations more efficient - You are resilient and resourceful, able to troubleshoot and resolve roadblocks - you are able to break down a problem and take decisive action when needed - You like to have fun and love to host events - You have a general willingness to help out wherever help is needed - You love local businesses - you keep lists of your favorite coffee shops, restaurants, and local vendors You can expect high impact and wide-ranging responsibility. You must be a builder who thrives in a learning environment—unafraid to try new things, embrace new ideas, and welcome suggestions for how we can iterate on our processes. **Responsibilities** - Be the Homebase culture keeper by upholding existing company traditions and finding new ways to delight our team - Office management - help keep the office pleasant and productive (ordering and stocking office supplies, troubleshooting phone/printer issues, maintaining a tidy office, etc.) - Administrative responsibilities - welcoming visitors, receiving deliveries, managing utilities and other administrative duties - Coordinate with vendors such as office cleaners, lunch delivery, office supplies, snacks and beverages, landlord relations, etc. - Onboarding employees - setting up new employee computers, handing out key fobs, providing office tours, handling employee paperwork, communicating company culture, occasionally hosting new hire orientation, etc. - Calendar management - help with meeting scheduling, coordination, and shuffling conference room reservations - Be the go-to resource in the office for all employee questions, help employees with their concerns or help them find the right person - Remote Team Support_ - Identify co-working spaces where our remote-based employees can occasionally gather, work, and collaborate - Coordinate offsite meetings, special events, team building exercises and other social events for our remote employees - General Support_ - Culture building and event planning - coordinate offsite meetings, special events, team building exercises and other social events in Toronto - Work with vendors to order swag for employees in all of our locations - Travel Support - Scheduling flights, hotels, and helping employees that need travel visas - Support the People Operations team with various projects and initiatives **Qualifications** - 2+ years of experience in a service or support role - Administrative Assistant or Office Management experience preferred - Proficient with GSuite - Strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively - A
