**Responsibilities**:

- Provide technical support by maintaining all online systems including updating the team website and social media platforms, managing the CRM system, lead generation and lead management systems, and shared cloud document storage. Ensure adequate security measures are taken to protect electronic information.
- Provide marketing support by coordinating the team’s marketing initiatives, both online and print, adhering to team and company brand guidelines, including manipulating photos, creating new marketing materials, working with graphic designers and copy writers, setting up and monitoring weekly, monthly and annual marketing activities.
- Provide real estate transaction management support by researching market data, preparing digital client presentations, managing documents, updating checklists, uploading listing details to the MLS and other websites, coordinating service partners (e.g. stagers, photographers, videographers), booking showing appointments, ensuring deadlines are met and waivers are completed, sending just listed/just sold cards and purchasing closing gifts.
- Provide bookkeeping support by tracking and recording expenses in an online accounting system, comparing budget to actual expenses monthly to identify variances and preparing basic monthly financial reports for the team leader’s review.
- Coordinate meeting materials, including taking minutes and preparing action plans for distribution to team members following each meeting.
- Coordinate catering for in-house and external functions. Promote events, maintain registrations and collect payments if required.
- Provide hands-on support to team members with administrative issues or questions.

**Qualifications**:

- College diploma preferred
- Minimum of 2-3 years of experience in an Administrative Assistant role
- Exceptional computer skills
- Proficiency with Microsoft products including Outlook, Word, Excel, and PowerPoint
- Proficiency in Adobe products including Acrobat and Photoshop
- Proficiency with Google Apps including Gmail and Google Drive
- Basic knowledge of financial bookkeeping
- Possesses a strong work ethic, is honest and willing to take ownership
- Demonstrates a passion for customer service and quality, and is comfortable in a high-energy environment
- Superior organization skills; willing and able to assure that all physical and electronic data is properly stored
- Exceptional time management; ability to work on multiple projects at once and continually reprioritize workload
- Valid driver’s license; owns vehicle in good condition

**Job Type**: Part-time
Part-time hours: 18 per week
