**Summary**
We’re looking for a people-focused, detail-oriented, organized, and proactive Client Happiness & Sales Coordinator to join our growing cleaning company serving Blue Mountain and the surrounding areas. In this cross-functional role, you’ll be the first point of contact for most of our new clients — guiding them from inquiry to onboarding — while supporting daily scheduling needs and delivering top-notch customer service.
You’ll manage inbound leads, prepare and follow up on quotes, and convert prospects into happy, recurring clients. You'll also help maintain smooth scheduling operations, particularly for new clients, reschedules, and cancellations — and fully step into the Scheduler role when needed. Your goal? Make every interaction easy, friendly, and memorable.
**Responsibilities**
**Sales & Client Coordination**
- Provide timely, accurate job quotes using company pricing tools.
- Follow up on declined estimates to re-engage prospects and identify barriers to booking.
- Convert approved estimates into scheduled cleanings efficiently.
- Maintain and update client information in CRM and scheduling systems.
- Track and report weekly, monthly, and annual sales conversion rates.
- Communicate clearly and kindly with clients to set expectations and build trust.
- On-site job visits for quoting as needed.
- Administration support as needed.
**Scheduling & Coordination**
- Schedule new client appointments with accuracy and attention to cleaner availability and route optimization.
- Collaborate with the Scheduler to manage reschedules, cancellations, and last-minute changes.
- Step in as the lead scheduler during Scheduler time off or busy periods.
- Maintain up-to-date records in HCP and internal tracking systems (Notion, Connecteams).
- Monitor client feedback and service issues, escalating to management as needed.
**Customer Service**
- Answer incoming customer inquiries regarding services, quotes, bookings, or changes.
- Act as the liaison between cleaning teams and clients to resolve any concerns quickly.
- Ensure a smooth and welcoming onboarding experience for all new clients.
- Represent our brand with positivity and professionalism at all times.
**Requirements**:
- 2+ years of experience in customer service or sales (cleaning or service industry preferred).
- Strong communication skills — written, verbal, and interpersonal.
- Proven ability to manage multiple tasks and timelines with accuracy.
- Comfortable with CRM systems, quoting tools, and scheduling platforms (experience with HCP or Notion a plus).
- Ability to stay calm under pressure and solve problems on the fly.
- Team player mindset with flexibility to step into scheduling duties as needed.
- Detail-oriented with a focus on providing a high-quality client experience.
- Capable of taking and following instructions is a must.
