WORK PERFORMED

Administrative/Project Support
- Is a primary first point of contact for general enquiries and for initial client enquiries
- Records preliminary details about potential projects and communicates general scope to Project Managers
- Assists Project Managers in the preparation and execution of the crewing plans for specific projects
- Organizes and maintains the function of the company’s front-line operations, including answering phone calls; recording accurate messages; tracking, monitoring, and ordering office supplies; and ensuring a professional interface between the public, clients, and the company
- Gathers and provides information to Project Managers and Project Coordinators for the timely reconciliation of project expenses
- Codes accounts-payable invoices, compiles labour hours, and assembles data for the smooth reconciliation of client invoices
- Attends meetings, records minutes, and posts clear and concise information for staff
- Performs data entry on the company's bookkeeping system
- Performs and assists with filing functions, including creating new files, maintaining archived files, and filing project and operational documents, such as contracts, project drawings, project consumable sheets, and correspondence

Transport
- Receives information and generates quotes for the delivery operations of the company
- Maintains delivery schedule of the company vehicles and drivers for delivery runs
- Is responsible for the smooth scheduling of the company’s and rental vehicles in cooperation with Project Managers, the Shop Manager, and drivers
- Tracks and records waybills, bills of lading, and driver activity to ensure the smooth running of the delivery schedule and its invoicing
- Tracks and coordinates documentation and scheduling related to company vehicles, including regular maintenance, repairs, and inspections

Crewing
- Records and posts crewing schedules
- Researches potential new crew members through various methods, including by posting job positions, contacting present and previous employees, and networking with various members of the GNW community
- Maintains an up-to-date recruiting database and actively prequalifies crew members for future recruitment
- Maintains crew database of employee skills, availability, and contact information
- Maintains the crew timesheets, and forwards them appropriately for payroll preparation
- Fills cancellations and openings in the daily work schedule
- Records and tracks availability of seasonal and casual staff
- Supports new personnel in completing start packs
- Assists in the maintenance of confidential personnel files
- Coordinates travel arrangements for crew working overnight jobs, including hotel accommodation, vehicle use, and travel itineraries
- Supports Project Managers to ensure that appropriate site/work/personnel documentation is sent to site and processed after the work is completed

**Salary**: $22.00-$26.00 per hour
