**SUMMARY OF POSITION**

Private Pension Partners (“P3”) is seeking an Administrative Assistant to join our team. The Administrative Assistant will be responsible for providing general administrative support and assisting with the day-to-day office management needs. Strong communication and organizational skills are essential to the success of this role.

**RESPONSIBILITIES**
- Greet and assist visitors while ensuring a welcoming environment;
- Handle confidential information with discretion and professionalism;
- Assist with arranging courier services locally and out of province;
- Responsible for depositing mail at designated mail collection area, including ensuring mail is properly addressed and stamped;
- Assist in managing office supplies and equipment, placing orders when necessary for both P3 and P3 Realty offices - including maintaining snack bars and ordering of snacks;
- Responsible for tracking sign in and sign out of keys;
- Responsible for maintaining general tidiness of P3 & P3 Realty offices as per task list;
- Assist with the planning and coordination of corporate & team events;
- Responsible for addressing any deficiencies with service providers;
- Assist with corporate, tax and land titles searches for all jurisdictions in Canada;
- Responsible for maintaining corporate database and coordinating signing of annual returns and resolutions;
- Assist with onboarding of new employees (i.e. ordering business cards, coordinating monthly parking etc.);
- Assist with ad hoc items such as obtaining camera footage, coordinating birthday and milestone celebrations etc.; and
- Provide support with other general administrative tasks and special projects, as needed.

**QUALIFICATIONS**
- Proven experience as an administrative assistant or in other clerical positions;
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
- Excellent communication skills, both written and verbal;
- Strong organizational skills and attention to detail;
- Ability to multitask and prioritize effectively;
- Professional demeanor and a positive attitude;
- Familiarity with office equipment and office management;
- Certification from an Administrative Assistant or Legal Assistant Program will be considered an asset; and
- Experience in real estate or construction industry would also be considered as a strong asset.
